Position Overview:
The Front Desk Receptionist (FDR) is the first person visitors encounter at ATR, serving as the welcoming face of the organization. This role is essential to the day-to-day operations in the day-to-day operations of ATR requires a highly organized, detail-oriented, and empathetic individual who can effectively communicate with a diverse range of people, including staff, volunteers, adopters, and the public.
Key Responsibilities:
Administrative Tasks:
- Process intake paperwork for incoming dogs.
- Create adoption contracts.
- Process adoptions and register microchips.
- Manage and maintain the appointment calendar.
- Organize payments and inventory.
- Update and maintain all profiles in Animal Shelter Management
Customer Service:
- Greet every visitor warmly and professionally.
- Answer phone calls, emails, voicemails, and in-person inquiries.
- Provide information about adoption procedures, dog care, and other relevant topics.
- Navigate challenging situations such as handling returns, adopter concerns, and found dog inquiries with empathy, professionalism, and resourceful solutions.
Adoptions:
- Conduct adoption counseling sessions, asking insightful questions to match potential adopters with suitable dogs.
- Create a positive,welcoming, and informational adoption experience.
- Manage dogs of various sizes and temperaments during meet-and-greets.
- Provide post-adoption support and guidance to new pet owners.
Teamwork and Professional Development:
- Collaborate effectively with team members across different departments.
- Participate in regular team meetings and training sessions.
- Maintain a positive and supportive work environment.
Perform other duties as assigned to support the overall mission and operations of Almost There: A Mom Pups Rescue.
Qualifications:
- Strong organizational and time management skills.
- Proficient in technology, including email, scheduling systems, and data entry.
- Excellent communication and interpersonal skills, including proficiency in phone and text communication.
- Ability to multitask and prioritize tasks.
- Passion for animal welfare.
- Experience working with dogs or other animals, preferred but not required.
- Ability to lift up to 55 pounds.
Schedule:
- Flexible schedule, including weekends and evenings.
- Minimum commitment of 3 shifts per week.
- Minimum commitment of 1 shift being on a weekend (Saturday or Sunday).
