Position Overview: The Billing Specialist / Communication Center Operator is a hybrid role responsible for coordinating Interfacility Transport (IFT) requests while ensuring accurate and efficient medical billing processes. This position requires strong multitasking abilities, attention to detail, and a commitment to maintaining compliance with industry regulations.
Key Responsibilities:
1. Dispatch & Communication Center Duties
· Answer and process incoming requests for IFT transports.
· Prioritize and dispatch closest most appropriate units based on urgency, location, and availability.
· Maintain real-time tracking and status updates for all active transports.
· Communicate effectively with field crews, hospitals, and other medical facilities.
§ Accurately enter data onto track software in real time for transparency across dispatch staff.
· Utilize critical thinking to work through aberrant situations, contacting leadership for assistance as needed for anything not addressed in the policies and procedures.
· Monitor system status and ensure vehicle movements are as expected, notifying appropriate personnel of any discrepancies.
· Ensure compliance with Communications Center Policies and Procedures.
· Maintain a calm and professional demeanor in high-stress situations.
· Send end-of-shift reports to leadership.
2. Billing & Administrative Duties
· Review and process patient care reports for billing accuracy.
· Submit medical claims to insurance companies electronically or through hard copy.
· Follow up on outstanding claims to ensure timely payment.
· Work with insurance companies to resolve discrepancies and denied claims.
· Manage patient billing accounts, including sending invoices and tracking payments.
· Communicate with patients regarding billing and insurance coverage inquiries.
· Maintain accurate records of all claims and billing activity.
· Ensure compliance with HIPAA and medical billing regulations.
· Assist with other office duties as needed.
3. General Responsibilities
· Collaborate with dispatchers, billing staff, and field personnel to improve workflow and efficiency.
· Provide excellent customer service to patients, clients, and field personnel.
· Stay updated on dispatch and billing procedures, industry regulations, and best practices.
· Maintain the cleanliness and organization of the communications center workspace.
Qualifications & Skills:
· High school diploma or equivalent required.
· Prior experience in dispatch, medical billing, or a related field preferred.
· Strong organizational and multitasking skills.
· Proficiency with dispatch software and medical billing systems.
· Knowledge of insurance claim processing and coding (CPT, ICD-10) is a plus.
· Excellent communication and problem-solving abilities.
· Ability to work in a fast-paced environment with high attention to detail.
· Great interpersonal skills
· Must maintain confidentiality and professionalism at all times.
Work Schedule:
· Full-time position with a 12-hour rotating schedule in the Communications Center.
· Hybrid schedule may be available based on company policies and workflow demands.
