The Opportunity:
Job Summary:
To coordinate a demanding workload and provide administrative support to the Plan Operations team in the most efficient, accurate, and professional manner possible. This position requires the use of high-level judgment and initiative to determine the approach or action for non-routine situations. Adherence to absolute confidentiality is imperative.
Primary Duties, Responsibilities and Competencies:
- Maintain a strong understanding of business strategies, goals and missions.
- Organize and track activities related to division projects and initiatives for reporting progress to goal
- Coordinate division related projects to completion.
- Provide administrative support to Plan Operations leaders
- Prepare letters, memos, and reports for Plan Operations leaders
- Responsible for producing documents/projects, including complex charts, and slide presentations.
- Research and analyze a wide range of information for non-routine and confidential projects.
- Processes various documents for payments and reimbursements.
- Ability to organize, prioritize, communicate and manage workload effectively and efficiently
- Assist with document production and training materials.
- Demonstrates excellent customer service skills by ensuring staff and vendor relations are conducted with a pleasant and friendly attitude and responds in a timely manner.
- Maintain administrative files.
- Special projects as required and other duties and responsibilities, as assigned per departmental or organizational business needs
- Record, organize, and maintain minutes from area-wide meetings and other meetings advised by the Chief Operations Officer or other Plan Operations leadership.
- Perform other duties as assigned
- Responsible to maintain AlohaCares confidential information in accordance with AlohaCare policies, and state and federal laws, rules, and regulations regarding confidentiality. Employees have access to AlohaCare data based on the data classification assigned to this job title.
Knowledge, Skills, Abilities and Competencies:
- High level of organizational skills.
- Ability to maintain confidentiality with company and personnel information.
- Two years of high-level administrative experience and/or project coordination experience
- Advanced technical skills, with an exceptional working knowledge of the Microsoft suite of products (word, outlook, excel, power point).
- Requires operation of general office equipment to include PC, fax/copy machine, ACD Mitel Phones, etc.
- Word processing skills of 45-60 wpm with a high degree of accuracy.
- Strong organizational problem solving and planning skills.
- Ability to problem solve, analyze, think critically, good judgment and make fair decisions.
- Advanced oral and written communication skills.
- Demonstrated ability to work with individuals at all levels within the organization.
- Achieves results, builds trust, communicates effectively with all team members and stakeholders, customer-service oriented and quality focused.
- Positive attitude and ability to accept direction.
- Must maintain a punctual and regular schedule.
- Ability to multi-task, be flexible and adapt to changing priorities, manage a diversity of high priority tasks in a fast-paced environment.
- Must be able to work independently to perform a variety of administrative and secretarial functions which require the use of judgment and initiative to determine the approach for non-routine situations.
Required Education:
- High School Diploma or equivalent.
- Bachelors degree preferred.
Preferred Competencies and Qualifications:
- Previous experience with high level management interactions and support highly desirable.
- Previous health care experience is desirable.
Physical Demands/Working Conditions:
- May require prolonged sitting - up to 4 hours; occasional lifting, up to 20 pounds.
- Requires operation of a computer workstation, including keyboard and video display terminal.
Additional Job Requirements:
- Business hours are Monday through Friday 8:00 a.m. to 5:00 p.m. At times, may need to work earlier or later depending upon the needs of the situation.
Salary range: $17.00 - $26.00 an hour
