The Opportunity:
The Human Resources Coordinator supports the operations of the (HR) Human Resources Department with primary focus on the following areas:
- Recruitment, Staffing, Hiring, and Onboarding (Talent Acquisition)
- Talent Development
- Training and Development
- Performance Management
- Employee Engagement, Recognition and Rewards
The HR Coordinator is responsible for administration and project support of the HR policies, procedures, initiatives and programs. The HR Coordinator is responsible for ensuring HR guiding principles are adhered to in carrying out the duties and responsibilities of this position. These include having a focused, disciplined, and positively engaged approach with regards to HR policies, regulations, laws and other procedures, delivering excellent customer service, emphasizing communication, teamwork, collaboration and seeking ways to support and develop standardized processes and best practice procedures.
The HR Coordinator follows HR practices and objectives that will provide an employee-oriented, high-performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment, and the recruitment and ongoing development of a superior workforce. The HR Coordinator coordinates and supports the implementation of services, policies, and programs through HR staff, reports to the Sr. Manager of Talent Organizational Development.
Primary Duties & Responsibilities:
Human Resource Department
- Supports the development and administration of programs, procedures, and guidelines to help align the workforce with the strategic goals of the company.
- Participates in developing departmental goals, objectives and systems.
- Responsible to assist in the scheduling, coordination of departmental meetings, staff meetings, trainings, employee events and others as requested
- Participates in staff meetings and attends other meetings and seminars.
Recruitment, Onboarding and Staffing
- Supports recruitment initiatives, activities and efforts to source qualified candidates and temporary employees
- Supports new hire and management orientations by developing, tracking, analyzing and reporting management reports for new hire on-boarding process and employee separation/terminations off-boarding process.
- Supports the recruitment process for all positions, interns, and temporary hires using effective and efficient recruiting and hiring practices and procedures.
- Reviews resumes for all candidates as needed.
- Schedules interviews as requested by the Talent Acquisition Manager.
- Conducts preliminary interviews/screening of candidates as requested by the Talent Acquisition Manager.
- Conducts Background and Reference Checks along with other pre-employment requirements
- Works with Talent Acquisition Manager and Senior Manager, Talent and Organizational Development to support the Administration of Recruiting & Hiring Management System to include maintaining data integrity of HRIS system coinciding with rapid organizational changes.
- Responsible to provide administrative support in creating and maintaining employee files, ensuring files are updated, current, organized, consistent and information is easily retrieved as needed.
- Maintains database of current job descriptions, job grades, titles and provides ongoing reporting and analysis. Works with managers to ensure positions, job descriptions are updated and properly classified per FLSA guidelines and appropriate salary grades.
Talent Development and Employee Engagement
- Assists with the development of HR policies for the company with regard employee training and Talent Development.
- Supports employee relations practices necessary to establish a positive employer-employee relationship and promote a high level of employee engagement.
- Assists with the implementation of the company safety and health programs.
- Assists with the annual and ongoing Performance Review Cycles and processes.
- Assists with employee communication and feedback through such avenues as All Staff meetings, suggestion programs, employee engagement/satisfaction surveys, newsletters, employee focus groups, one-on-one meetings, and Intranet use.
- Assists with and provides support for Employee Health and Well-Being Initiatives, Education and Training Sessions and events.
- Helps to monitor the organization's culture so that it supports the attainment of the company's goals and promotes employee satisfaction.
- Assists with the company-wide committees including the wellness, training, environmental health and safety, activity, and culture and communications committees.
- Assists with the planning and execution of Employee Events and programs.
Legal and Compliance
- Complies with all existing governmental and labor legal and government reporting requirements including any related to the Equal Employment Opportunity (EEO), the Americans With Disabilities Act (ADA), the Family and Medical Leave Act (FMLA) and Hawaii Family Leave Act (HFLA), Employee Retirement Income Security Act (ERISA), the Department of Labor (DOL), worker compensation, the Occupational Safety and Health Administration (OSHA), and so forth. This includes assisting managers with the application and interpretation of HR policies, performance problems, transfers, terminations and promotions
- Protects the interests of employees and the company in accordance with company HR policies and governmental laws and regulations. Maintains minimal company exposure to lawsuits.
All other duties as assigned.
- Provides Administrative and Project support as assigned by the Sr. Manager, Talent and Organizational Management. Responsible to maintain AlohaCares confidential information in accordance with AlohaCare policies, and state and federal laws, rules and regulations regarding confidentiality. Employees have access to AlohaCare data based on the data classification assigned to this job title.
Education and Experience
- Preferred Bachelors Degree in Business, Administration, Human Resources with a minimum of Associates degree
- 2 -4 years of administrative experience, preferably in Human Resources positions.
- Professional in Human Resources (PHR) or SHRM-CP certification preferred, not required.
- Healthcare experience helpful
Required Competencies & Qualifications:
- General knowledge of employment laws and practices.
- Experience in Human Resources program administration, preferably in recruitment, benefits, payroll or other areas of Human Resources
- Excellent interpersonal and customer service skills.
- Strong verbal and written communication skills
- Ability to organize, coordinate projects in a timely, creative and effective manner.
- Ability to multi-task, adapt to changing priorities, manage a diversity of high priority projects in a fast-paced environment.
- Ability to problem solve, analyze, think critically, good judgment and make decisions.
- Ability to learn and administer HRIS recruiting, hiring, performance and learning management systems and payroll systems as needed.
- Ability to use Microsoft Office Programs; Word, Excel, Outlook and PowerPoint.
- Requires operation of general office equipment to include PC, fax/copy machine and phone system.
Physical Demands/Working Conditions:
- Requires operation of computer workstation, including keyboard and video display terminal.
- Sedentary Work: Exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
Salary Range: $19.75 - $25.00 an hour
