What are the responsibilities and job description for the Administrative and Project Support Professional position at Alpha 3 Consulting, LLC?
Alpha 3 is seeking an Administrative and Project Support Professional to provide support to our client’s engineering organization. This is a full-time position with a hybrid work schedule. Three days per week (typically Tuesday-Thursday) are expected to be in the office in Richmond, VA, and two days per week from home.
Responsibilities
Draft and edit correspondence and e-mail to other offices, clients, and subcontractors
Assist with the preparation of proposals for engineering services
Assist with maintenance of current opportunities and bid schedules
Prepare meeting notes and maintain document registers and drawing lists
Support the scheduling of engineering and design resources between multiple projects
Become familiar with and train others on office procedures when needed
Coordinate and plan local office meetings, functions, and events
Review and process invoices and expense reports and support project cost accounting
Desired Qualifications
Administrative experience, preferably in a professional services environment and ideally in an engineering or technical environment
Familiarity with common computer programs and tools, including Microsoft Office applications, and ability to acquire additional software skills as needed to support scheduling and cost accounting functions
Excellent oral and written communication skills
Ability to work independently and prioritize work to manage multiple tasks
Motivation : Eager to learn new skills and develop knowledge to make a valuable impact to project team operation; willing to engage with others to understand project team needs; committed to deliver high quality, accurate deliverables with attention to detail
Ability to understand and adapt to various client standards, preferences, and procedures
Bachelor or associate degree
Additional Qualifications (valued but not required)
Experience with project information software solutions, such as Deltek, SAP, or PowerPlan
Knowledge of recommended practices for project management and control
Ability to use project controls tools and create and customize reports to suit client needs
Ability to travel to offices or client sites on an occasional, as-needed basis
Ability to manage various data types, navigate software systems and interfaces with key stakeholders
Related internship, co-op, or work experience, preferably within the power industry
