Job Summary
We are seeking a highly organized and detail-oriented Medical Office Manager to oversee certain operations of our urgent care network's home office. The ideal candidate will have a strong background in office management within a healthcare setting, with a solid understanding of medical terminology and administrative support processes. This role is essential in ensuring that our office runs smoothly, providing excellent patient care and maintaining efficient workflows.
Responsibilities
- Manage the clerical onboarding of new staff, including collection of credentials, compliance with organizational training application, and initial OIG audits.
- Oversee the payroll process, to include communication with benefits coordinator, monitoring and correction of time cards, and oversight of 401K contributions .
- Maintain employee HR files.
- Facilitate the collection of provider credentialing information, work with credentialing vendor to ensure timely provider onboarding and enrollment, and maintain internal credentialing files.
- Ensure accurate maintenance of medical records and patient information systems.
- Gather and present reports on key practice indicators.
- Implement office policies and procedures to enhance operational efficiency.
- Monitor inventory of office supplies and equipment, placing orders as necessary.
- Assist in training new staff on office procedures and systems.
- Handle patient inquiries, complaints, and feedback professionally to maintain high levels of satisfaction.
Experience
- Previous experience in a medical office management role is preferred.
- Familiarity with urgent care operations is advantageous.
- Proficient understanding of medical terminology and medical records management; experience with AthenaHealth is a plus.
- Experience in providing medical administrative support within a healthcare setting is highly desirable.
- Strong leadership skills with the ability to motivate and manage a team effectively.
- Excellent communication skills, both verbal and written, to interact with patients and staff professionally.
