The Project Coordinator & Executive Assistant will be the central point of contact for all project-related tasks, ensuring that various projects remain on track and deadlines are met. You will also provide high-level executive administrative support to the Founder / CEO, President / COO, and HR Leader.
The ideal candidate will be a self-starter who thrives in a fast-paced, ever-evolving environment and has a passion for keeping things running smoothly. You will possess the ability to manage multiple moving pieces, prioritize effectively, and communicate proactively to keep projects and teams aligned.
Key Responsibilities :
Project Management :
Maintain and update the master task list for various company projects.
Monitor the progress of ongoing projects, ensuring tasks are completed on schedule and deadlines are met.
Work closely with project managers and team members to ensure projects stay on track.
Adjust project timelines or strategies when unexpected delays or changes occur.
Track project milestones and key deliverables, ensuring they are achieved on time.
Communicate any project-related challenges to leadership and propose solutions.
Executive Administrative Support :
Provide high-level administrative support to the Founder / CEO, President / COO.
Manage calendars, appointments, and meeting coordination for the executive team.
Prepare reports, presentations, and documents as needed.
Handle confidential information with discretion and professionalism.
Assist in the preparation and execution of internal meetings.
Team Coordination & Communication :
Facilitate communication between departments and project teams, ensuring alignment and clarity of goals.
Help the team navigate shifting priorities and adjust workflows to ensure continued productivity.
Ensure all team members are clear on their roles and responsibilities within a project.
Prepare and distribute project status reports to key stakeholders.
Qualifications :
Bachelor's degree or equivalent experience in business administration, project management, or related field.
3 years of experience in project management, executive support, or operations coordination.
Exceptional organizational skills with an ability to manage multiple priorities and deadlines.
Strong attention to detail, ability to track and update tasks in real time.
Excellent written and verbal communication skills.
Extensive experience with macOS
Proficiency in project management software (e.g., Notion, Monday.com) and Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to work well independently as well as in a collaborative team environment.
Highly proactive, resourceful, and able to anticipate the needs of executives and teams.
Preferred :
Experience working in a dynamic, fast-paced environment, such as a gym, fitness, or clothing industry.
