Job Description:
We’re seeking an organized, proactive, and detail-oriented Office Manager to support our team and ensure the day-to-day operations run smoothly. The ideal candidate will be an experienced office administrator with a background in property management, construction or accounting, who thrives in a fast-paced environment and can juggle multiple tasks efficiently.

Responsibilities:

  • Oversee daily office operations, ensuring efficient workflow
  • Manage office supplies, vendor relationships, and maintenance requests
  • Coordinate schedules for property showings, inspections, and contractor visits
  • Assist with property listings, bookings, and tenant communications for short-term rentals
  • Assist and maintain financial records, including invoicing and expense tracking
  • Assist in the preparation of project budgets, contracts, and reports for construction projects
  • Ensure compliance with relevant property management and construction regulations
  • Organize and maintain office systems, ensuring all documents are properly filed and up-to-date
  • Support the team with ad-hoc administrative tasks as needed

Requirements:

  • Proven experience as an Office Manager, Administrative Assistant, or similar role in property management, construction, or real estate
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to work independently and prioritize tasks
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Quickbooks experience a plus
  • Familiarity with property management software (e.g., Airbnb, VRBO, Hostaway) is a plus
  • Strong problem-solving abilities and ability to handle sensitive situations with discretion
  • Ability to adapt to changing priorities and handle multiple projects at once
