Job Description:
We’re seeking an organized, proactive, and detail-oriented Office Manager to support our team and ensure the day-to-day operations run smoothly. The ideal candidate will be an experienced office administrator with a background in property management, construction or accounting, who thrives in a fast-paced environment and can juggle multiple tasks efficiently.
Responsibilities:
- Oversee daily office operations, ensuring efficient workflow
- Manage office supplies, vendor relationships, and maintenance requests
- Coordinate schedules for property showings, inspections, and contractor visits
- Assist with property listings, bookings, and tenant communications for short-term rentals
- Assist and maintain financial records, including invoicing and expense tracking
- Assist in the preparation of project budgets, contracts, and reports for construction projects
- Ensure compliance with relevant property management and construction regulations
- Organize and maintain office systems, ensuring all documents are properly filed and up-to-date
- Support the team with ad-hoc administrative tasks as needed
Requirements:
- Proven experience as an Office Manager, Administrative Assistant, or similar role in property management, construction, or real estate
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to work independently and prioritize tasks
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Quickbooks experience a plus
- Familiarity with property management software (e.g., Airbnb, VRBO, Hostaway) is a plus
- Strong problem-solving abilities and ability to handle sensitive situations with discretion
- Ability to adapt to changing priorities and handle multiple projects at once
