Job Description: Project Specialist - Freight Forwarding Operator

Role Summary:
The Project Freight Forwarder Coordinator plays a pivotal role in managing the logistics and transportation needs of project-based freight movements. This individual ensures the seamless coordination of cargo from origin to destination while adhering to project timelines, budgets, and client requirements. The ideal candidate will possess a strong understanding of freight forwarding processes, excellent organizational skills, and the ability to communicate effectively with diverse stakeholders.
Key Responsibilities:
Freight Coordination and Management:
- Plan, execute, and oversee the end-to-end transportation process for project cargo, including oversized or specialized shipments.
- Liaise with carriers, shipping lines, customs brokers, and other stakeholders to ensure timely and cost-effective delivery.
- Coordinate multiple modes of transportation based on project requirements with an emphasis on Ocean Freight
- Negotiate rates, schedules, and terms with freight providers to optimize cost and service.
Project Oversight:
- Develop and maintain detailed project logistics plans, timelines, and budgets.
- Monitor the progress of shipments and address any deviations or delays.
- Collaborate with project teams to align logistics strategies with project milestones.
- Ensure compliance with local and international regulations, including customs, export control, and hazardous material handling.
Documentation and Reporting:
- Prepare and verify shipping documents such as bills of lading, commercial invoices, packing lists, and customs declarations.
- Maintain accurate records of all project logistics activities.
- Provide regular updates and reports to management and clients on shipment status and project logistics performance.
Problem Solving and Risk Management:
- Proactively identify potential risks or bottlenecks in the logistics process and implement solutions.
- Handle unforeseen challenges such as delays, damaged cargo, or route changes with efficiency and professionalism.
Collaboration and Communication:
- Act as the primary point of contact between clients, internal teams, and agents.
- Build and maintain strong relationships with clients to understand and meet their project logistics needs.
- Ensure clear and timely communication across all stakeholders involved in the logistics chain.
Qualifications:
Education and Experience:
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field (preferred).
- Minimum of 4 years experience in freight forwarding, logistics, or supply chain coordination.
- Prior experience in project cargo or specialized logistics is highly desirable.
Skills and Competencies:
- Strong knowledge of international shipping regulations, INCOTERMS, and customs procedures.
- Experience handling oversized/overweight shipments and one-off large project shipments
- Excellent problem-solving and decision-making abilities.
- Strong organizational skills with attention to detail.
- Effective communication and interpersonal skills.
