Job Summary
Essential Duties and Responsibilities:
The office manager manages the administrative and financial side of the San Antonio Office. They work with project teams, subcontractors, and clients to ensure projects run smoothly and on time.
Supervisory Responsibilities: none
Job Duties Include:
- Office operations: Answer phones, distribute mail, manage office supplies, monitor shop fuel, equipment, and maintenance
- Project management: Help manage deadlines, budgets, and work schedules
- Contract Administration: Assist with bid package prep, review implementation, and gather data on project execution.
- Administration: Prepare invoices and estimates, schedule meetings, etc.
- Accounting: Process invoices, collect expense data, and maintain financial records
- Procurement: Assist in procuring materials and other items needed for project completion
- Subcontractors: Coordinate subcontractors, including paperwork and lien releases
- Payroll: Arrange for employee payroll, including timesheets and tax reporting
- Communication: Communicate with employees, customers, and other stakeholders
- Human resources: Assist in recruiting new employees, support career development, implement retention strategies, assist in benefit administration, and track performance reviews.
**Other duties as required to successfully run a small office.
Qualifications / Skills:
- Excellent verbal, written, and interpersonal communication skills
- Proficiency in Microsoft Office Suite, heavy use of Outlook, Excel, and Word
- Understanding of construction processes and the interplay between project administration, estimating, operations, and accounting is beneficial
- Bilingual language skills are helpful
- Experience in the Water Well Industry is Preferred

Job Type: Full-time
Pay: $20.08 - $21.46 per hour
Expected hours: No less than 40 per week
