We are looking for a detail-oriented and organized Office Assistant to join our team. In this role, you will be supporting day-to-day administrative tasks, ensuring smooth order processing, and coordinating with various departments. Key Responsibilities:
- Print Daily Orders: Print out all daily orders to ensure timely and accurate processing.
- Group Orders & Sign Paperwork: Group daily orders together, ensuring proper documentation is completed and signed.
- Schedule Daily Pickups: Coordinate with carriers to schedule daily pickups, ensuring timely and efficient shipments.
- Check Order Accuracy: Place daily orders on staged items and double-check for accuracy before final processing.
- Cancellations: Handle emails regarding order cancellations, following up on the process to complete the cancellation procedure.
- Process Daily Returns: Manage and process daily returns, ensuring items are returned accurately and promptly.
- Answer Phone Calls: Handle incoming phone calls, providing customer support and answering inquiries as needed.
- Assist with Carrier Pickups: Help with carrier pickups as needed, ensuring the process runs smoothly and on time.
- Update Inventory List: Maintain and update the inventory list, tracking products and stock levels accurately.
- Scan Processed Paperwork of Pickups: Scan and organize paperwork of daily pickups and send relevant details to the CA team for processing.
Requirements:
- Previous office or administrative experience preferred but not required.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Proficiency in basic office software (e.g., email, Excel, NetSuite).
- High attention to detail and accuracy.
- Comfortable handling phone calls and interacting with vendors and customers.
- Ability to work in a fast-paced environment with changing priorities.
