Reporting to the COO, the Executive Assistant will be responsible for providing exceptional administrative support to ensure the smooth operation of the office. This role requires an individual who is comfortable juggling multiple tasks, managing confidential information, and ensuring the smooth operation of a full suite of administrative functions. KEY RESPONSIBILITIES
Executive Assistant:
• Schedule and coordinate meetings, appointments, and travel for the CEO and COO.
• Anticipate and proactively address scheduling conflicts and prioritize appointments.
• Screen and direct incoming calls, emails, and correspondence.
• Compile data and prepare professional emails, presentations, and reports on behalf of CEO and COO.
• Act as a gatekeeper and liaison between executives and other team members or external contacts.
• Organize and prioritize tasks, ensuring timely completion of projects and initiatives.
• Maintain confidentiality and exercise discretion in handling sensitive information.
Office Management:
• Oversee day-to-day office operations, ensuring a functional, clean, and welcoming environment.
• Manage office supplies inventory, ordering and replenishing items as necessary.
• Coordinate office maintenance, repairs, and vendor relationships.
Event Coordination:
• Plan, organize, and coordinate internal and external meetings, events, and conferences.
• Handle logistics, catering, and travel arrangements for executive and company events.
• Assist with team-building activities and company-wide initiatives.
General Administrative Support:
• Assist with various administrative tasks, including mail sorting and distribution, filing, and data entry.
• Assist in managing budgets, invoicing, and processing expenses.
• Maintain organized filing systems to ensure easy access to important documents and information.
• Prepare and coordinate onboarding for new hires, ensuring a smooth integration into the office.
QUALIFICATIONS
• Commitment to AltCap's mission of promoting economic opportunity for underserved communities.
• Experience in customer service, client relations, and/or administrative support roles.
• Professional appearance and demeanor.
• Proven ability to manage multiple priorities and meet deadlines.
• Strong organizational skills and attention to detail.
• Excellent verbal and written communication skills.
• Proficient with Microsoft Office suite. Salesforce skills a plus.
• Self-starting team player.
• Curious and committed to continuous development.
• High school diploma or equivalent.
• Bilingual proficiency in English and Spanish a plus.
• Adventurous eater.
