Job Summary:
- Oversee daily contract administration within the Biomed Supply Management team, including business analytics, process controls, and supplier management (on-boarding, off-boarding, and risk assessments).
- Ensure adherence to ARC Purchasing and Contracting Policy, Financial Manual Policies & Procedures (FMPP), and Strategic Procurement goals.
- Manage complex contract development, selection, award, administration, and customer contact activities to ensure compliance with company policies, legal requirements, and client specifications.
- Maintain relationships with third-party suppliers, vendors, consultants, and contractors.
- Review and negotiate biomedical contractual details, including specifications, price, date of delivery, task orders, scope of work, and contractual provisions to ensure compliance with approved ARC policies and procedures.
- Analyze proposals and collaborate with staff and suppliers on contract specifications.
- Develop, solicit, negotiate, and administer contracts for goods and services.
- Guide stakeholders to optimal sourcing solutions.
- Ensure contract execution aligns with company policy and resolve contract-related issues promptly.
- Manage supplier on-boarding/off-boarding and perform risk assessments.
- Support field Business Unit throughout the sourcing and contracting lifecycle, ensuring risks and issues are identified and addressed, and appropriate involvement of support partners (Legal & Risk Departments).
- Monitor and maintain contract data and files, including original contract, all correspondence, changes/deviations, amendments, clarifications, and payment schedules.
- Support supplier management relationships through continuous monitoring of supplier performance, ensuring contract compliance and end-user outreach and education related to process compliance.
- Resolve procurement issues with Accounts Payable, Supply Management, and Finance.
- Develop contract status reports for management review.
- Provide technical guidance on contracting procedures.
- May lead projects and perform other related duties as assigned.
- Ensure adherence to Purchasing and Contracting Policy and Strategic Procurement goals.
- Provide data analytics on contract activities, KPIs, and metrics.
- Drive process improvements in Procurement, focusing on biomedical contracts.
- Work independently as a proficient individual contributor, instructing or coaching others as needed.
- Bachelor’s degree in business administration, Accounting, Finance, or related field required.
- 1-2 years of contract administration experience preferred, with knowledge of procurement and biomedical contracts. MS Office and Coupa experience preferred.
- Minimum 5 years of related experience or equivalent combination of education and experience required.
- Strong interpersonal skills for issue resolution.
- Customer service-oriented with strong verbal and written communication skills.
- Good judgment, decisiveness, and ability to take independent action while leading a team.
- Ability to manage resources and work effectively.
- Proficient in Microsoft Office Suite and personal computer use.
- Strong organizational and multi-tasking skills. Ability to work on a team.
