Alternate Job Title: Sourcing and Contract Administrator
Responsible for the ongoing administration of new and existing strategic construction project agreements. Work with project team to assure major contractors adhere to the contractual terms and conditions. Review change order requests, invoices and document exchanges and coordinate approvals. Coordinate procurement activities as needed. Funnel issues appropriately to legal resources.
PRIMARY ACCOUNTABILITIES: Support contract activities including development, negotiation, amendment and compliance as part of the project team. Collaborate with internal team to determine and negotiate appropriate terms and conditions of contracts. Work closely with Project Manager and team to review and manage both day-to-day tasks and strategic execution of project contracts. Life cycle contract administration to support medium to large contract size. Diligently follow up multiple tactical processes such as project RFIs, Change Order Requests, and invoices. Thorough knowledge of Client processes and willingness to closely monitor progress and communicate next steps with internal team and Contractor. Coordinate the drafting, review and negotiation of agreements and statements of work to obtain agreeable commercial terms while mitigating risk. Advise on and interpret contract requirements, obligations and risks and investigate/follow-up on contract related issues. Serve as internal resource for contract questions and interpretation; advise on next steps allowed or required by contract. Work both independently/autonomously and with multiple project teams to identify and analyze unique contractual relationships. Identify issues and coordinate strategy or problem-solving discussions when needed. Follow up to drive issues to resolution. Collaborate with Project Manager and Sourcing on Procurement Activities, including: develop specifications, statements of work, and supplier performance metrics. Administer bids (requests for information (RFI) and requests for proposals (RFP)); support development of evaluation criteria for bids and evaluate final submittals. Facilitate developing and negotiating final agreements. Manage the various contractually mandated processes to both hold Contractor accountable and keep internal customers in compliance with contracts. These processes include Notices, Request for Information and Change Order Requests. Engage and educate the project team on compliance with the contract and the role of the project team throughout project execution.
