What are the responsibilities and job description for the Billing Associate position at Alterman Group Inc?
Overview:
This position will work primarily, though not exclusively, with the Alterman receivable’s function providing invoicing and billing support.
Essential Functions:
1. Processes and prepares customer invoices: 60%
- Receives billing/invoice worksheets from Project Managers to be reviewed for accuracy.
- Verifies worksheet details to the contract/PO/work order details from Owner/GC.
- Prepares invoice in Spectrum/accounting software and emails to customer.
- Prepares Facility invoicing that will be entered into Spectrum / accounting software and then entered in the customer’s online billing platform.
2. Assists Operations Accounting Coordinator: 5%
- Assists with billing reports for Divisional Directors and PMs.
- Assists with Accounts Receivable (AR) aging reports for the AR Collections Associate.
- Assists with collections as requested.
3. Processes invoices and statements: 20%
- Provides weekly invoices prepared to Operations Coordinator for posting.
- Analyzes billing requests to process and produce invoices.
- Prepares monthly statements and submits them to customers.
4. Provides customer service: 10%
- Responds to billing inquires by Divisional Directors, and PMs, and customers.
- Researches and responds to routine customer billing and billing statement inquiries.
5. Performs other duties as required. 5%
Education and Experience:
- High school diploma or general education degree (GED) preferred.
- One to three years related experience and/or training preferred.
Skills/Abilities:
- Language Skills-Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Mathematical Skills-Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
- Reasoning Ability-Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a basic variety of technical instructions in mathematical or diagram form and deal with basic abstract and concrete variables.
- Computer Skills-To perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software. Prior experience with accounting software is preferred.
- Interpersonal Skills – Customer service skills required as well as the ability to work well in a team environment.
