The Project Accountant manages project setup and budgets in the ERP system and ensures accurate billing and accounts receivable reporting for all assigned projects.
Essential Functions
- Project Set Up and Duration: 75%
- Responsible for setting up new projects in ERP with proper coding for cost centers, sales tax, use tax, and payroll compliance.
- Enters project budgets and modifications, including change order modifications to contract values.
- Works with Project Managers on cost, budgets, and Purchase Orders (POs) as needed.
- Processes and prepares monthly billing.
- Reviews and verifies billing/invoice data for accuracy.
- Prepares and submits billings to customers.
- Prepares billings for entry into Spectrum and Customer’s online billing platform.
- Cleans aged accounts receivables.
- Creates T&M billing coding in ERP for specific types of contracts.
- Assists with accounts receivable aging, reporting, and collections.
- Coordinates with Accounts Payable on major POs approval and correct posting to the job.
- Adds new customers into the ERP financial system.
- Validates tax classification for jobs/customers/vendors.
- Responds to vendor and/or customer inquiries.
- Compliance and File Maintenance: 15%
- Maintains waivers, conditional and unconditional, and handles sales tax certificates.
- Coordinates with the Risk department to store contractual documents in required locations.
- Assists corporate staff with monthly/quarterly/annual tax compliance, reporting, and audits.
- Performs other duties as assigned. 10%
- Bachelor’s degree with a concentration in accounting and one to four years of relevant experience OR an equivalent combination of education and experience required.
- Excellent verbal and written communication skills.
- Able to participate in meetings.
- Excellent interpersonal and customer service skills.
- Proficient with Microsoft Office Suite, or other related software.
- Able to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
- Able to define problems, collect data, establish facts, and draw valid conclusions.
- Able to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
- Able to balance team and individual responsibilities.
- Able to complete administrative tasks correctly and timely.

- Must be able to frequently sit.
- Must be able to use hands to finger, handle, or feel objects; must be able to reach with hands and arms. Manual dexterity associated with computer data entry required.
