If this sounds like you, the Clay County Auditor's office is looking for a Full-Time Deputy Auditor I! The Deputy Auditor I assists the Auditor with various administrative and clerical tasks, including maintaining records, processing documents, and ensuring compliance with county regulations.
Here's what you'll do:
- Pay Voucher Claims (Accounts Payable)
- Examine invoices for amounts due, due date, proper vendor number, proper general ledger number, and ensure they have not already been paid.
- Enter invoices on computer, check for accuracy, and run sheets for approval by Commissioners. This requires attention to detail to ensure dollar amounts are correct and invoices are paid accurately.
- Prepare invoices paid for minutes.
- Print vouchers.
- Print checks, copy invoices to send with checks, and mail out checks.
- Prepare check register for Treasurer and enter in Bank Ledger file.
- Run reports after each batch. At end of month, run all reports for departments (budgets, etc.).
- Save all reports or appropriate computer file or print as necessary.
- Payroll
- Enter and update all payroll data (timesheets, raises, changes in deductions or benefits, etc.). Calculate overtime and wages as necessary.
- Print payroll reports and check for accuracy.
- Prepare the direct deposit for the bank.
- Run payroll checks and check stubs. Deliver to each department.
- Run payroll reports and reconcile.
- Prepare the check register for Treasurer and for Commissioner approval and enter in Bank Ledger file.
- Submit retirement report and check to State.
- Update Payroll Ledger.
- Enter new wages, vacation / sick hours, and W-4 changes as well as reconcile / run W-2s and 1099 forms.
- Quarterly, Federal 941 tax filing and unemployment report.
- Responsible for maintaining compliance with federal Affordable Care Act requirements.
- Responsible for employee benefits, FLEX plan administration, and other aspects of Human Resources as assigned by Auditor.
- County Aid Liens
- Enter receipts and charges for report.
- Print monthly account statements.
- Work with collection of accounts, including filing with collection agency.
- Save all lien-related documents (CAA court paperwork, etc.) to appropriate computer file.
- Various Duties
- Responsible for locking up Courthouse at night.
- Helps in areas of election preparation and absentee voting as necessary.
- Other duties as assigned.
The Deputy Auditor I has the authority to sign any and all documents when the Auditor is absent. Duties of the Chief Deputy Auditor, Deputy Auditor I, and Deputy Auditor II can vary according to changes in office practice and staff.
Here's what will get you noticed:
- High school / GED or a combination of education, training and experience required.
- Two (2) years of experience with general accounting principles and procedures.
- Ability to communicate effectively verbally and in writing.
- Skilled in a variety of computer programs.

- Ability to make mathematical computations accurately and quickly.
- Working knowledge of Microsoft Office, Adobe, and other computer programs.
- Strong analytical and problem-solving skills.
- Considerable knowledge of office procedures, practices, and equipment.
- Ability to develop and maintain positive professional relationships with the general public and other employees.
- Demonstration of organizational skills and extreme attention to detail.
