The Clay County Extension Office is seeking a friendly, organized, and detail-oriented Extension/4-H Secretary to help us deliver valuable services to our residents. In this dynamic role, you’ll collaborate with the 4-H Educator and Extension staff, ensuring our horticulture, 4-H, and other programs run smoothly and efficiently.
What You’ll Do
- Coordinate Office Operations: Manage correspondence, type and file documents, and handle day-to-day office tasks like sorting mail, making deposits, and responding to inquiries.
- Frontline Support: Act as the primary contact for phone calls, emails, and walk-ins, offering exceptional customer service and directing individuals to the appropriate resources.
- Resource & Inventory Management: Monitor, order, and track office supplies, keeping our workspace organized, friendly, and ready to serve the public.
- Facility Coordination: Oversee rentals and usage of the 4-H Building and 4-H Kitchen, ensuring a smooth experience for all users.
- Fair & Event Preparation: Assist with the planning and coordination of county fairs and 4-H events by preparing necessary materials, organizing exhibits, and completing follow-up tasks for state events.
- Team Collaboration: Work closely with the 4-H Educator, local boards, committees, and volunteers, including occasional weekend and evening hours to support special events and activities.
- Records Management: Maintain comprehensive file systems and retention schedules, ensuring easy access and proper recordkeeping.
- Community Engagement: Build strong relationships with 4-H members and families, local agencies, and partner organizations.
What We’re Looking For
- Education & Experience: High school diploma or GED (or equivalent combination of education and experience) with a solid understanding of modern office practices.
- Tech-Savvy: Comfortable using computers and common software programs to handle various administrative tasks.
- Organized & Detail-Oriented: Able to juggle multiple priorities while maintaining accuracy and efficiency.
- Strong Communicator: Excellent verbal and written communication skills, delivering information clearly and professionally.
- Customer-Focused: Dedicated to providing top-notch service to the public, 4-H members, families, and partner organizations.
- Team Player: Eager to collaborate and build relationships with colleagues, volunteers, and the community.
