Who we want: We are seeking a dynamic and driven candidate who is self-motivated and passionate about analyzing contracts for our Altia entities in the USA, Germany, Japan and South Korea with a detailed eye toward minimizing risks, reducing costs and increasing profits, while ensuring compliance with the law. Responsible for preparing, examining, analyzing, and revising vendor/customer contracts. As part of this role the successful candidate will also be responsible for our world-wide Accounts Receivables and billings. We are looking for a candidate who loves to work with excel and has a very strong affinity for numbers. The position will report directly to the VP of Finance and is based in Colorado Springs.
Primary Responsibilities:
- Oversees the preparation, revision, and administration of vendor/customer contracts and NDAs
- Analyze agreements/contracts, propose revisions and where needed, prepare briefs summarizing contractual issues and unique vendor/customer requirements
- Work closely with external legal counsel and internal stakeholders to facilitate legal reviews and ensure alignment across the organization
- Identify contract legal and business issues and risks
- Coordinate with internal/external stakeholders using discretion and prioritization to escalate as necessary
- Provide contract support for the sales, engineering, services, and marketing teams by providing notice on obligations and compliance issues to ensure understanding of and adherence to contact details and standards
- Monitor contract performance, including the status of customer and Altia deliverables. Disseminate information to appropriate employees regarding contract status.
- Provide post-contract summaries when appropriate and ensure contract execution and retention in accordance with established policies.
- Attend contract related meetings with customers and vendors, in different time zones.
- Create, optimize and evolve Altia contract templates and standardized procedures as needed
- Maintain detailed and organized files in accordance with internal processes including original contracts, changes/deviations, amendments, and clarifications.
- Obtain, track, and monitor royalty production data per contract terms and forecasts
- Provide internal updates on royalty production as related to contract terms
- Work with Sales to determine royalty schedule forecast
- Update internal royalty tracking mechanism
- Establish systems and processes that enable company to scale sales growth including negotiating and closing contracts efficiently.
- Prepare and issue accurate customer invoices in a timely manner, ensuring all billing data is complete and correct, and in line with local requirements in the US, as well as for our international entities.
- Maintain accurate and up-to-date customer records, including collecting and verifying appropriate documentation such as sales tax exemption certificates.
- Manage accounts receivables
- Monitor accounts receivable to identify outstanding balances and follow up on overdue invoices
- Communicate professionally with customers via email and phone regarding payment status, invoice questions, or discrepancies
- Maintain detailed and organized records of all billing and collection activities
- Collaborate with internal teams (e.g., sales, operations) to resolve billing issues or disputes
- Generate aging reports and assist in forecasting cash collections
- Escalate delinquent accounts and support legal or third-party collection processes when necessary
- Assist with month-end close by providing accurate receivables data and reports
- Ensure compliance with internal financial policies and accounting standards
- Assist during the yearly audit by providing requested contracts, reports or other documentation
- Support ad-hoc projects as needed
Qualifications
Education and Experience:
- Undergraduate degree and/or equivalent work experience in a Contract Management or similar role.
- 5 years of experience handling contract administrative functions in coordination with legal counsel preferably in the technology sector.
- Experience working and coordinating with several departments including Sales.
- Strong written and verbal communication and interpersonal skills
- Ability to adjust and set priorities to meet deadlines under minimal supervision
- Self-starter with strong personal work ethic, and a “whatever it takes” attitude
- Adept at learning new tools and technologies quickly
- Strong affinity for numbers & high attention to detail
- Flexible working schedule to be able to liaise with customers & colleagues in Asia and Europe
Preferred Qualifications:
- Proficiency in the MS Office suite of tools with emphasis on Word and Excel
- Knowledge of Salesforce and/or NetSuite is a significant plus.

Budgeted Base Salary Range: $80,000-$100,000 commensurate with experience
