Job Summary: The Front Desk Coordinator serves as the first point of contact for patients and visitors, managing appointments, handling administrative tasks, and ensuring a welcoming and safe environment for our clients. Front Desk Duties:
· Greet and check-in clients with a warm, professional demeanor.
· Manage appointment scheduling and patient compliance to their appointment
· Answer multi-line phone and route calls, addressing inquiries, and providing appropriate information.
· Collect and process payments, including co-pays, deductibles, and outstanding balances.
· Maintain accurate client records by updating demographic and insurance information.
· Complete insurance verifications.
· Obtain prior authorizations for procedures, medications, and referrals as required.
· Liaise with insurance companies to resolve coverage issues or claims denials.
· Assist in managing medical records requests and ensuring compliance with HIPAA regulations.
· Provide clear instructions to clients on how to use the equipment safely. (i.e. sauna, cold plunge, and Biomats)
· Maintain inventory of front office and clinical supplies and notify appropriate personnel when reorders are required.
· Miscellaneous administrative tasks to support clinic operations.
Facility Operations:
· Verify the wellness tools and equipment for client visits are functioning properly and adjust settings as needed.
· Ensure the wood-burning sauna is properly maintained, including monitoring the fire and adding wood as needed.
· Monitor the cold plunge equipment for compliance with functionality and meets temperature requirements.
· Monitor the area to confirm all safety protocols and guidelines are in place.
· Report any equipment malfunctions or maintenance issues to management immediately.
Qualifications & Skills:
- High school diploma or relevant education.
- Previous experience in a medical office required.
- Proficiency in EMR software, Microsoft Office and Google Workspace
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with confidentiality
Job Type: Full-time
Pay: $23.00 - $27.00 per hour
Expected hours: 40 per week
