Essential Functions:
- Strong customer focus and a “Whatever it takes” attitude!!!
- Maintain company records and reports for all employee files including health benefit administration, 401K, payroll, bonuses, and commissions.
- Files EEO-1 report annually; and maintains other records, reports and logs to conform to EEO regulations.
- Maintain company organization charts and the employee directory.
- Assists in the preparation of and maintains the employee handbook and the policies and procedures manual.
- Maintain all employee and applicant documentation as dictated by governing agencies.
- Maintain and process all Unemployment Notices of Entitlement and potential charges in a timely, efficient manner. Attend unemployment hearings when necessary.
- Assist with recruitment tasks as needed (reviews applications, interviews); including career fairs.
- Monitor absenteeism reports and ensures proper documentation is issued on employees who have excessive tardiness or absenteeism problems. Reports vacation, sick, personal day and holiday use to payroll and scheduling.
- Maintain employee personnel files.
- Ensure compliance with USCIS Form I-9 Employment Eligibility Verification; audit Forms I-9.
- Report, maintain and monitor all workers' compensation case files; follows-up on open cases.
- Monitor employee eligibility for benefits plans. Review benefits with employees and processes enrollment, cancellation or changes.
- Organize and manage annual open enrollment communications and election process. Maintain and distribute list of new and cancelled employees under each benefit plan.
- Maintain Updated SOP for departmental processes.
- Lead on maintaining the applicant tracking system.
- Write and Post open positions on the online career portals, college job boards, other popular online job boards, and Social Media outlets.
- Create and run various recruiting reports to track KPI's along with the number of applicants, and their sources.
- Coordinate, arrange and participate in career fairs.
- Schedule interviews with the members of the Recruiting/Hiring Team for qualified candidates.
- Compiles, administrates, updates, and maintains payroll records in the UltiPro databases
- Maintains payroll operations by following policies and procedures; reporting needed changes
- Prepares year-end schedule for audit, verifies and distributes W-2 information.
- Researches payroll issues/discrepancies and processes necessary corrections.
- Manages all payroll related activities, i.e. unemployment claims, verifications of employment, employee liens, etc.
- Assists and facilitates new hire processing and orientation of all new employees.
- Complies with all existing governmental and labor legal requirements including any related to the EEO, ADA, FMLA, ERISA, OSHA, Department of Labor, IRS, Worker Compensation, to maintain minimal company exposure to lawsuits.
- Prepares periodic reports for management, as necessary or requested.
Education and Experience:
- BS/BA degree in Human Resources or Business Management from a four year college or university, and 5 or more years of experience in Human Resources and Payroll or related field or equivalent combination of education and experience.

- Bachelor’s degree in Human Resources or Business Management from a four year college or university, and 5 or more years of experience in Human Resources and Payroll or related field or equivalent combination of education and experience.
- Expert in UltiPro (UKG) HRIS - Payroll, Time and Labor and Performance modules
- Must have excellent organizational skills, attention to detail and the ability to prioritize multiple high priority objectives.
- Must have advanced knowledge and understanding of Microsoft Word (e.g. mail merge, document tracking), Excel (e.g. pivot tables, v-look up functions, etc.)
- Clear, concise and effective communication skills, both written and verbal
- Professional demeanor and the ability to maintain strict confidentiality and discretion
- Strong customer focus and a “Whatever it takes” attitude.
- Strong system skills and experience ICIMS, desired
