An Office Director is responsible for overseeing the daily operations of an office and its various departments. Their duties include communicating with department heads, relaying important information or policy changes from upper management and implementing incentives to enhance employee productivity.
The Office Director will work exclusively with Case Managers to ensure quality and continuity of care amongst participants and caregivers alike. Assist in duties that are subject, but not limited to: billing, intake, administration and HR assistance, and any other tasks delegated by upper Managment.
The Office Director will oversee the day-to-day operations of the office and ensure that all administrative functions are running smoothly. This role requires a proactive, detail-oriented leader with strong communication skills and a passion for excellent customer service. The Office Director will manage a team, coordinate with caregivers and clients, handle financial records, and ensure compliance with regulatory requirements.
Key Responsibilities:
- Oversee office operations, including managing office staff and ensuring an efficient work environment.
- Develop and implement office policies and procedures to improve efficiency and maintain high-quality standards.
- Coordinate client care schedules, ensuring that caregivers are properly matched to clients' needs and providing regular follow-up to ensure client satisfaction.
- Maintain and update client and caregiver records, ensuring confidentiality and compliance with applicable regulations.
- Handle incoming calls, inquiries, and requests from clients, families, and caregivers.
- Monitor office budgets, manage billing and invoicing processes, and ensure timely payments and financial record-keeping.
- Ensure compliance with local, state, and federal regulations related to home care services, including maintaining accurate licensing, certifications, and training records.
- Foster a positive work environment, providing leadership, mentorship, and support to office staff.
Qualifications:
- Bachelor's degree in Business Administration, Healthcare Management, or a related field (preferred).
- Minimum of 3 years of experience in an office management or supervisory role, preferably in the healthcare or homecare industry.
- Strong knowledge of home care industry regulations and best practices.
- Excellent organizational, problem-solving, and multitasking skills.
- Strong verbal and written communication skills.
- Ability to lead and manage a team effectively.
- High level of proficiency with office software, such as Microsoft Office Suite or similar.
- Ability to maintain confidentiality and handle sensitive information.
- Empathetic, compassionate, and client-focused attitude.
- Ability to work independently and as part of a team.
- Prior experience working with billing and scheduling software is a plus.
