POSITION SUMMARY
The Program Associate provides logistical and administrative support for Amachi Pittsburgh’s programs and services. This role assists with the coordination and execution of tabling events, presentations, and community engagement initiatives. The Program Associate is responsible for supporting event logistics, collecting related data, and maintaining organized records to meet program goals.
The ideal candidate is highly organized, proactive, detail-oriented, and motivated to contribute to Amachi Pittsburgh’s mission of empowering youth and families impacted by incarceration. This role requires travel throughout Allegheny County, with events often held on weekends or evenings when youth, families and volunteers can be engaged.
RESPONSIBILITIES
Ø Event Support
o Assist with planning, setup, facilitation, and breakdown of events and presentations.
o Track attendance and collect participant feedback via surveys or other channels.
o Ensure event materials, such as handouts and presentation supplies, are prepared and restocked as needed.
Ø Administrative Support
o Maintain a schedule of community events and programmatic activities.
o Maintain and update well-organized program records and databases.
o Support communication with community partners, including confirming event logistics and participant attendance.
o Keep inventory of materials and equipment, ensuring readiness for upcoming activities.
Ø Data Collection and Reporting
o Input attendance records, feedback surveys, and other data into spreadsheets and/or databases.
o Generate reports for grants and evaluation.
Ø Other Responsibilities
o Collaborate with team members to ensure seamless coordination of events and activities; specifically, work closely with the manager of executive affairs to ensure seamless coordination of administrative functions.
o Attending relevant training sessions.
o Provide general support to the Amachi team for program-related activities as needed.
Education/Experience & Certifications
Ø High School Diploma or equivalent required; Associate degree in a related field preferred.
Ø Proficiency in Microsoft Office (Word, Excel, Outlook).
Ø Experience in administrative support or program logistics, ideally in a nonprofit or community setting.
Ø Knowledge and practice of cultural competence.
Ø Familiarity with trauma-informed practices or willingness to learn.
Ø Strong organizational skills; experience working with young people is a plus.
