What are the responsibilities and job description for the Purchasing Clerk position at Amada?

JOB DESCRIPTION:

Works with Buyers in the Purchasing Department to create or revise Purchase Orders in SAP system. May communication with vendors to convey Requests for Quotes and Purchase Order placements, or to resolve discrepancies. Matches various receiving documents and analyzes them for correctness. Pursues resolutions to discrepancies with Buyers and/or vendors. Enters transactions in the SAP system and delivers documents to the Accounting Department daily. Assists Buyers to coordinate deliveries from vendors and interface with end users. Maintains departmental records and files.

ESSENTIAL FUNCTIONS:

  • Sort and distribute Purchasing Dept mail to correct Buyers
  • Create Purchase Order documents in SAP system
  • Communicate with vendors regarding inquiries, purchases and deliveries
  • Match vendor invoices with Packing Slips and Purchase Orders and analyze for correctness.
  • Interface with Buyer and/or vendor to resolve discrepancies and correct computer and document records, as necessary
  • Enter transactions for payment of invoices in SAP system and send documents to Accounting Dept daily
  • Assist Buyer to follow-up or expedite pending purchases and coordinate with end users
  • Update logs and computer files daily
  • Electronic filing Purchasing documents and records
  • Reconcile and generate excel reports for credit card portfolio
  • Follow up with C-level executives for receipts or other inquires
  • Other duties as assigned

NON-ESSENTIAL FUNCTIONS:

  • Prepare special reports as needed
  • Participates in companies physical inventory

REPORTING RELATIONSHIP:

  • Division Manager/ Facilities
  • MRO Purchasing Supervisor

KNOWLEDGE:

  • General office experience preferably one year
  • Purchasing experience preferably but not limited to
  • Willingness to learn

SKILLS:

  • Good computer skills in Word and Excel
  • Preferably knowledge and experience with SAP Purchasing systems
  • Detail oriented with high degree of accuracy
  • Excellent organization skills

  • Little to no travel
