Job Overview
The Grants Associate will play a vital role in supporting the efficient operations of the Grants Team, focusing on managing client communications, maintaining data workflows and ensuring seamless execution of assigned tasks. This role involves overseeing a high-volume email inbox, managing outgoing correspondence, and maintaining strong client relationships through personalized service. The associate will assist with client account setups, data entry, report generation, and bulk grant uploads, ensuring tasks are completed accurately and on time. With a focus on client satisfaction and operational efficiency, the ideal candidate will have strong organizational skills, a keen attention to detail, and the ability to manage multiple priorities simultaneously. Additionally, the associate will leverage their technical expertise to guide clients through software platform walkthroughs and support database management efforts.
Key Responsibilities
Client Communication and Support
The salary for this non-exempt position is $64,000 - $75,000 commensurate with experience. This position is a remote, U.S. based role. The role will require domestic travel, as needed, including the Foundation’s retreats and in-person meetings as necessary. Key Responsibilities
Client Communication and Support
- Manage a high-volume email inbox, ensuring timely and professional responses to client inquiries with an eye towards problem solving and providing best in class client service
- Maintain long-lasting client relationships through personalized service and inquiry management software
- Assist clients with account setup and provide technical support for navigating software platform
- Assist team with client onboarding to grantmaking programs and software
- Perform accurate data entry and maintain up-to-date records in the grants management system
- Support the Grants team with data workflows to ensure timely completion of tasks and processes
- Handle bulk grant uploads efficiently, ensuring accuracy and adherence to deadlines.
- Work with the Grants Manager to identify opportunities for improving workflows to enhance team productivity.
- Manage outgoing correspondence lines such as ACH enrollment/outreach and grant award notifications
- Responsible for client account setup for primary RFP platform
- Perform daily, weekly, or monthly repeatable tasks with high efficiency and attention to detail, ensuring consistent quality and timely completion: including data entry, report generation, and bulk grant uploads
- Lead grantmaking team efforts in data archiving and storage
- Codify best practices and procedures around client engagement and correspondence
- Work closely with other members of the Grants team to execute weekly grant runs, strengthen client relationship management, and engage in grant program development.
- Support the Grants team with special projects as needed
- Other duties as needed
- Strong client services skills – responsive, able to anticipate concerns, ability to problem solve
- Ability to joyfully manage several threads of communication and correspondence with internal and external stakeholders
- Strong written and verbal communication skills, with an ability to present complex information in a clear and concise manner, with a client-focused approach.
- Detail-oriented with strong organizational skills and the ability to manage multiple tasks and deadlines simultaneously.
- Demonstrate technical expertise in guiding clients through software platform walkthroughs
- Familiarity with database organization and management, data entry and verification, and experience with different database software
- Ability to learn and work in multiple technology systems
- Experience with databases, specifically Airtable is preferred.
- Knowledge of Donor Advised Fund compliance and IRS regulations
