SUMMARY:
To provide administrative support to Sales and Catering Department
Responsibilities:
Assists the Director of Sales & Catering with the following:
§ Assist with managing customer/client relationships by responding to clients as requested.
§ Create Group Blocks in Opera and MARSHA
§ Enter group rooming lists and individual reservations (as needed) into MARSHA
§ Send confirmation via group rooming list or individual confirmation to clients
§ Maintain group block in Opera and MARSHA to ensure hotel is balanced
§ Create client files
§ Input Opportunities/Quotes in SFA (as needed)
§ Run DQI and other departmental reports as requested
§ Create Banquet Event Orders (BEO’s)
§ Maintains Banquet Pace Report
§ Create Floor Plans and Diagrams
§ Assist with banquet servicing (as needed)
§ Set up PM Accounts
§ Set up routing for groups and individuals
§ Maintain credit card authorizations
§ Posts banquet and/or guestroom charges (as requested)
§ Adjusts charges (as needed)
§ Create and print customized menus
§ Send receipt to customer/groups upon checkout
§ Enter STAR Report Data
§ Submit Property Bullet Points Weekly
§ Creates and maintains social media content for hotel
§ Creates and conducts proposal presentations and RFP responses (as requested)
§ Utilizes SFA correctly to ensure accurate tracking, booking and follow-up on all accounts.
§ Assists with site preparation and support
§ Liaises with other departments to help ensure clients’ needs are exceeded.
§ Actively participates in weekly BEO meeting
§ Informs culinary and operating departments of any changes, additions or deletions to group/banquet functions.
§ Provides event recaps (as needed) and operation, sales and production suggestions to the hotel management team.
§ Creates Gift Certificates (as requested) and maintains Gift Certificate tracking log
§ Performs any other duties set by the Director of Sales & Catering
§ Provides an exceptional level of service. Represents hotel in a courteous, efficient, and friendly manner in all client and company interactions.
QUALIFICATIONS, SKILLS AND ABILITIES:
§ College diploma, preferably Hospitality program
§ A true desire to satisfy the needs of others in a fast paced environment
§ Refined listening, verbal and written communication skills
§ Must be proficient in general computer knowledge and MS Office
§ Able to take initiative with exceptional energy, flexibility and professionalism
§ Extremely detail oriented and organized
§ Ability to as build and maintain positive relationships
§ Ability to work collaboratively with all individuals on the team
§ Must be well-groomed, meet the professional dress code requirements, and be able to deal with associates and guests courteously and efficiently.
EXPERIENCE
§ Previous administrative, hotel and/or food and beverage experience preferred (most notably four or five star/diamond property)
§ Familiar with Microsoft Office
Physical Demands
While performing the duties of this job, the Sales Coordinator is regularly required to move around the facility; to stand for long hours during events; talk and hear. This position may require work inside or outside of the building, as needed by events. Generally works in an office setting with minimal adverse exposure to environmental hazards.
