Position Description - HR Administrative Assistant

Position Summary and Objectives
Maintaining and auditing employee records (soft and hard copies)
Support the HR department in duties like VOE requests, and processing employees' requests regarding the HR department.
Conduct exit interviews
Assist with HR Investigations and create reports.
Primary Responsibilities and Key Deliverables by Function :
Be the eyes and ears for the HR Department to help identify learning opportunities within the Company.
Assist the HR Department with administrative tasks as needed, Identifying, and assessing areas of significant business risk.
Access to sensitive information and data, must be handled with integrity and discretion.
Audit and maintain active and terminated employee records (soft and hard copies).
Audit I-9 and EEO following labor regulations.
Audit employees' changes and termination requests.
Audit Periodically, active and terminated employees.
Ensuring complete, accurate, and timely audit employee information is reported to HR Management.
Conduct all exit interviews in a timely manner.
Audit the onboarding process making sure the process is complete within the timeframe and complying with compliance.
Process employees' requests and provide relevant information.
Manage the department's telephone center and address queries accordingly.
Assist with ad hoc investigations into identified or reported risks.
Assist with as hoc reports as needed.
Complete any VOE Request.
Communicate with public services when necessary (TWC, HHS, or any other entity)
General :
Support activities inside the HR department, maintaining the employee database.
Audit changes, terminations, and new hires.
Prepare reports relating to HR or Auditing.
Assist with employee Exit Interviews.
Respond to Employment verification requests (VOE) and communicate with public and private entities regarding VOE when necessary.
Assist with HR requests and questions from employees.
Assist with Other duties as assigned.
Key Results :
Ensure compliance with labor regulations.
Prompt resolution of HR requests and questions from employees
Maintain employee files and records in electronic and hard copy into compliance.
Timely completion of projects and duties as assigned.
Specific Job Knowledge, Skills, and Personal Abilities Required :
Bilingual English / Spanish preferred.
Excellent organizational and time-management skills
Willingness and ability to accept new challenges and pave the way - you will not always have a roadmap.
Demonstrate computer proficiency using MS Word, Excel PowerPoint, Outlook, and the ability to quickly learn additional platforms. Must feel comfortable using the above systems and additional learning platforms regularly to perform job functions successfully.

Minimum Education and Experience :
High School diploma required.
Bachelor's degree in business, Human Resources, Education, or a related field preferred.
Driver's License / Clean driving record.
