Role: Bid Coordinator

The Bid Coordinator is responsible for coordinating the preparation and submission of bid proposals for internal use. This role involves receiving bid documents and processing appropriate job files for quoting, collaborating with various internal teams to ensure that all bid documents are accurate, compliant, and submitted within specified deadlines.

Responsibilities

• Bid Processing: Oversee the end-to-end bid process, including analyzing Requests for Proposals (RFPs), Requests for Quotations (RFQs), and Requests for Information (RFIs).
• Proposal Development: Preparation and production of high-quality job file documentation. Collaborate with cross-functional teams to gather necessary information and ensure that proposals meet client requirements and company standards.
• Collaboration: Serve as the central point of contact for assigned proposals, coordinating with external and internal stakeholders, including Sales, Estimating, and other subject matter experts, to gather information and ensure alignment.
• Quality Assurance: Review and edit job files to ensure clarity, accuracy, and compliance with client specifications.
• Process Improvement: Identify opportunities to enhance bid processes and documentation. Provide feedback and recommendations to improve proposal quality and efficiency.
  
  

Requirements

• Knowledge of Microsoft Office (Word, Excel, and Outlook).
• Good written/verbal communication, organizational, and multi-tasking skills.
• Excellent organizational skills with a keen eye for detail and the ability to manage multiple projects simultaneously.
• Strong communication and interpersonal skills to collaborate effectively with internal teams and external contractors and engineers.
• Knowledge of HVAC systems and industry practices is a plus.
• Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
