Scope

As the Austin Office and HR Coordinator , you will make the Ambiq headquarters awesome by leading the company's day-to-day office operations and be the force behind building a positive and engaged workforce. This role is expected to be onsite 5 days a week.

The successful candidate will balance the administrative details of managing the logistics of the day-to-day office operations along with the energy and enthusiasm required to plan and host a diverse array of employee events and programs. The ideal candidate loves to be at the center of everything we do at the Company and takes pride in building a positive, healthy office environment. Key Responsibilities

Office Coordination :

  • Reception duties : Welcoming visitors, answering phone calls, directing inquiries to appropriate personnel, and managing on-site security and badge access.
  • Conference room calendar management : Oversee conference room usage and coordination of booking conflicts among staff.
  • Office supplies and break room management : Ordering and maintaining office supplies, including stationery, kitchen supplies, and ensuring the snack wall is always properly stocked.
  • Shipping and receiving : Receiving, sorting, and distributing incoming mail and packages. Packing and shipping packages and products in collaboration with various departments.
  • Communication support : Posting announcements on Teams and distributing local company information.
  • Event planning : Coordinating office events and trainings, including catering and logistics.
  • Vendor management : Managing relationships with office vendors and suppliers.
  • Office maintenance : Monitoring office cleanliness and reporting maintenance issues.
  • IT Partnership : Working closely with IT to ensure technology equipment in the office is functioning properly, including opening and closing IT tickets related to the Austin office.

HR Coordination :

  • Onboarding : Assist with the onboarding process for new employees, including paperwork and online filing. Welcome new employees to the Austin office including a workplace tour and office setup.
  • Benefits Administration : Answering employee questions regarding benefits, coordinating with Aetna to assist with managing benefit changes.
  • Employee Relations : Addressing employee concerns, facilitating communication between employees and management.
  • Requirements

  • Minimum 3 years of experience in a professional work environment.
  • Experience in office administration preferred.
  • Experience with employee engagement programs a plus
  • Capacity to work in a fast-paced, high energy environment
  • Strong organizational and time-management skills.
  • Professional written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to work as part of a team.
  • Positive and proactive attitude.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with HR software (e.g., ADP, BambooHR) a plus.
