The Executive Business Manager will provide high-level strategic and operational support to the executive leadership team at AMDA College of the Performing Arts. Collaborating directly with the President/Chief Executive Officer, Provost/Chief Academic and Operations Officer, and Chief Financial and Operations Officer, this role integrates advanced project management skills with operational oversight to streamline processes, drive institutional priorities, and enhance coordination across campuses. This position requires an exceptional professional adept at navigating complex dynamics while advancing institutional success in a mission-driven and fast-paced environment.
 
Primary Responsibilities:
Executive Leadership Support
  • Serve as a trusted support advisor to the executive team, ensuring seamless alignment of executive priorities, schedules, and deliverables.
  • Prepare high-level meeting materials, including strategic presentations, briefing documents, and post-meeting action plans.
  • Act as a liaison between executive leadership and internal/external stakeholders to ensure effective communication and alignment with institutional objectives.
  • Draft, review, and manage executive communications, including correspondence, policy documentation, and memos.
  • Coordinate multi-campus scheduling and manage competing priorities across time zones to optimize executive team efficiency.
Strategic Project Management
  • Design and implement frameworks to manage high-impact institutional projects, ensuring alignment with the college's strategic objectives.
  • Develop detailed project timelines, track milestones, and present progress reports to the executive leadership.
  • Collaborate with key departments to deliver complex initiatives successfully.
  • Proactively identify and mitigate risks, leveraging innovative solutions to address operational challenges.
  • Support change management processes, including program launches, accreditation initiatives, infrastructure projects, etc.
Operational Optimization
  • Analyze and refine executive workflows, identifying inefficiencies and implementing targeted improvements.
  • Oversee cross-campus initiatives, ensuring consistent communication and alignment of institutional goals.
  • Manage the institutional annual calendar, ensuring all critical deadlines, events, and deliverables are planned, tracked, and communicated effectively across campuses.
  • Manage a centralized repository for executive documents, reports, and institutional data to enhance decision-making processes.
Communication and Collaboration
  • Foster transparent and effective communication across all organizational levels to ensure alignment on institutional priorities.
  • Coordinate cross-departmental workflows, acting as a central point of contact for the executive team.
  • Support high-profile executive-led events, presentations, and special projects with precision and attention to detail.
  • Maintain the highest standards of confidentiality and discretion in handling sensitive information.
 
Required Qualifications:
  • Bachelor’s degree in business administration, project management, or a related field
  • A minimum of 3 years of experience supporting senior leadership in nonprofit, higher education, or arts-focused environments.
  • Demonstrated expertise in project management with a proven track record of managing complex, multi-stakeholder initiatives.
  • Superior organizational and multitasking skills, with exceptional attention to detail.
  • Advanced written and verbal communication skills tailored to diverse audiences.
  • Proficiency in project management tools such as Asana, Monday.com, or comparable platforms.
  • Strong analytical and problem-solving abilities, with a proactive and forward-thinking approach.
  • High-level interpersonal skills enabling effective collaboration with diverse teams and stakeholders.
  • Absolute professionalism and discretion in handling confidential matters and navigating organizational complexities.

Position Information:
  • The regular schedule for this role is Monday – Friday 9:00am – 6:00pm PT. This is subject to change based on department needs. May be required to work an alternate schedule which would include nights and/or weekend days periodically based on student calendar and department needs.
  • The pay range for this position is $82,000 - $87,000 annually.
  • This position is subject to a background check upon a conditional offer of employment and a reference check.
  • This is a hybrid position with 10% in person and 90% remote. In-person versus remote work is scheduled based on department needs.
