We’re seeking an Administrative Assistant to join our team and help ensure smooth operational efficiency and exceptional service delivery to our customers.
Role Overview: The Administrative Assistant will provide comprehensive administrative support to ensure the efficient operation of the office. This role will support managers and employees through a variety of tasks related to organization and communication.
Key Responsibilities:
- Manage Schedules: Organize and maintain calendars, schedule meetings, and permits.
- Communication: Handle phone calls, emails, and correspondence. Act as a point of contact between executives and employees/clients.
- Document Preparation: Create, edit, and format documents, reports, and presentations.
- Office Organization: Maintain an organized filing system, both electronic and physical.
- Data Entry: Input and update data in databases and spreadsheets.
- Supply Management: Monitor office supplies and place orders as needed.
- Customer Service: Assist clients or visitors with queries and direct them to the appropriate person.
- Miscellaneous Administrative Tasks: Perform various other tasks to support the office, such as managing mail, photocopying, and printing documents.
- Dispatch experience preferred but not required.
Skills and Qualifications:
- High school diploma or equivalent; college degree preferred.
- Proven administrative or assistant experience.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Proficiency in MS Office.
