We are seeking a dynamic Administrative Assistant to support our growing team in the pool industry. This position is crucial in keeping our office and field operations running smoothly. As the hub between various departments—including customer service, repair, commercial, and residential maintenance—you'll help keep everything organized, on track, and moving forward.

Key Responsibilities
- Serve as a central support resource for office staff and field teams across departments.
- Submit and track maintenance requests for facilities and equipment.
- Greet and assist visitors and respond to phone, email, and online inquiries in a professional manner.
- Support daily service operations: process service reports, create sales opportunities, send estimates, and schedule work orders.
- Assist the Sales Department by creating estimates and bids within Salesforce.
- Work with Accounts Receivable to follow up on past-due payments and help ensure timely collections.
- Generate weekly and monthly operational reports, including summaries of work orders for assigned departments.
- Maintain accurate filing systems and update internal databases.
- Assist with special projects, events, and other administrative tasks as assigned.
Required Skills and Qualifications
- Proven experience in administrative support, office coordination, or similar roles (e.g., Office Administrator, Sales Rep, or Admin Coordinator).
- Strong communication and interpersonal skills with a focus on customer service.
- Excellent time management and organizational abilities.
- Familiarity with Google Workspace and Microsoft Office; Salesforce experience is a plus.
- Ability to lift 50 lbs occasionally, and perform tasks involving bending, squatting, twisting, and standing.
- High school diploma or equivalent required.
