Job Overview
We are seeking a reliable and detail-oriented Administrative Assistant. In this role, you will be responsible for a variety of office tasks, ensuring smooth operations and efficient communication.
Key Responsibilities:
Communication & Coordination:
- Answer phone calls, respond to emails, and handle inquiries.
- Take messages and relay important information promptly.
- Draft and send correspondence as required.
- Manage calendars and schedule appointments.
- Make copies and send faxes as needed.
- Handle accounts receivable and accounts payable.
- Coordinate transactions and serve as the point of contact between agents, escrow officers, and clients.
- List rentals, take applications, and collect necessary documents.
- Act as the liaison between tenants, property owners, and management.
- Prepare notices for inspections, 3-day notices, and tenant letters.
- Prepare legal documents such as grant deeds, deeds of trust, and notes; ensure proper recording as necessary.
- Communicate with lenders regarding modifications, reinstatements, etc.
- Perform property profile searches, including grant deed and tax delinquency checks.
- Collect bankruptcy documents and request updated information as needed.
- Follow up on surplus funds.
- Assist with tax preparation by gathering documents and inputting data.
- Perform personal assisting duties as assigned.
Qualifications
- Bilingual in English and Spanish
- Education: High school diploma or equivalent required. Additional college-level courses preferred.
- Experience: Minimum of ONE (1) year of clerical experience as a secretary or administrative assistant.
- Proficiency with Microsoft Office Suite.
