The American Academy of Ophthalmology is looking for a Museum Coordinator.
Under the direction of the Director of the Truhlsen-Marmor Museum of the Eye, the Museum Coordinator provides support for museum revenue generating activities, fundraising initiatives, financial reporting and budget data entry, and event coordination. As a member of the museum team, the Museum Coordinator provides coverage for daily museum operations, visitor services, and administrative tasks that enhance the museum's financial sustainability and overall visitor experience.
The Truhlsen-Marmor Museum of the Eye was established in 1980 to teach people about the eye, vision and history of ophthalmology. The museum’s team operates a public gallery, develops educational programs, and oversees the long-term care of a permanent collection including 38,000 artifacts, books and archival materials.
Responsibilities:
- Revenue Support. Assist in implementing and tracking current and future museum revenue streams including image licensing, rental contracts, event coordination, ticket sales, and membership program. Under the direction of the Museum Director, the Museum Coordinator is the museum’s liaison with other divisions to facilitate revenue-generating activities.
- Fundraising Support. Assist Foundation Executive Director in coordinating small-scale fundraising efforts (under $1,000), including donor outreach, data entry, and event logistics. Assist in maintaining donor records, updating the museum’s website and donor wall, and producing a bi-annual donor newsletter.
- Financials and Budget Administrative Support. Assist with budget data entry and tracking. Assist with reconciliation of monthly museum financials and creating financial reports for leadership.
- Operations and Customer Service. Museum Coordinator will work with museum staff to ensure coverage for daily museum functions including greeting visitors, opening and closing the museum, troubleshooting issues, ensuring cleanliness and upkeep, and providing outstanding and courteous service to patrons for a high level of customer satisfaction. Position will train as a member of the Building Response Team. As needed, they will manage temporary workers, volunteers, and docents.
Requirements:
- Experience in museum development (fundraising) and membership.
- Event planning and execution.
- Knowledge of legal documents and language (licenses and contracts).
- Website content management/maintenance, HTML.
- Writing, editing, proofreading skills.
- Experience in budgeting and financial reporting is a plus.
- Ability to multi-task.
- Organizational and prioritization skills with strong attention to detail.
- Excellent verbal and written communications skills with some marketing skills.
- Ability to work independently.
- Proficiency in Microsoft Suite (Word, Excel, Teams) and Photoshop.
- On-the-spot problem solving.
- Ability to perform well under pressure while maintaining tact and diplomacy.
- Ability to think creatively to create new revenue streams.
- High level of integrity and ethics.
Must be willing to work weekends and occasional evenings. Initial schedule will be Wednesday through Sunday.
