REPORTS TO: Vice President, Education & Professional Relations
MAIN PURPOSE: Implements projects and activities of the Education Program & provides the first line of customer service to members, students, & prospective members regarding the Academy’s education programs.
DUTIES AND RESPONSIBILITIES:
Annual Meeting:
- Manage the Annual Meeting Lectures and Workshops (L&W), Scientific Program’s (SP), and Residents Program proposal and abstract submission processes, and execute the processing and distribution of speaker agreement letters.
- Manage education committee meetings content and structure.
- Communicate with the L&W, SP and Residents Program presenters to discuss scheduling changes and maintain required online documentation to accurately address questions or concerns.
- Manage the processes by which the L&W, Leadership, Scientific Program, and Residents Program committees review all submissions.
- Format and submit educational content for Program Preview, online program, and source document to appropriate staff members.
- Work with IT department to implement changes and ensure content on the website is accurate.
- Work with other staff to ensure appropriate logistical requirements for educational programs are met as required on-site, including audio-visual, room selection and set-up, signage, audio taping, and scheduling and on-site training of room monitors.
- Work with appropriate staff to arrange for temporary staffing of education sessions and with the L&W Committee
- Order signage for all Annual Meeting education sessions.
- Communicate with Academy members and a variety of other audiences about the education programs & respond to questions from the public and others.
- Archive printed materials and reports produced for and following the annual meeting.
- Serve as staff liaison to the Lectures & Workshops Committee, Scientific Program Committee, and the Residents Program Committee.
Continuing Education:
- Oversee the management of the Continuing Education (CE) courses and programs and provide customer service regarding CE certificates from current and past years.
- Develop and manage year-round online education programs (ex. Ellerbrock Presents: Grand Rounds).
- Secure CE program approval from appropriate optometric accrediting bodies and ensure compliance with CE guidelines (e.g. COPE, State Boards of Optometry, CE Broker domestically and on occasion, internationally.
- Solicit proposals for CEE providers (from schools & colleges of optometry) to provide examination for appropriate states and serve as the liaison to that program.
- Facilitate online submission of abstracts and course proposals.; Implement submission changes as requested by committee chairs; Works with the Director of Information Technology as needed.
- Collaborate with the VP, Membership & Communications, to ensure that all logistical and programmatic information regarding educational programs that appears on the Academy website is full, clear and accurate.
All other duties as assigned.
Requirements:MINIMUM SKILLS AND QUALIFICATIONS:
- Must have advanced knowledge of and experience with personal computers to include word processing, spreadsheets, email programs, and the Microsoft Office Suite. Familiarity with databases is essential.
- Knowledge of and experience with adult education and educational content delivery systems is required.
- Knowledge of principles and practices of organization, planning, records management, research and general administration.
- Excellent analytical and problem-solving skills, along with excellent attention to detail.
- Previous association or non-profit program management experience, including meeting experience, is preferred.
- Must have outstanding verbal and written communication skills.
- Must have the ability to work independently.
