AAPA is seeking a detail-oriented and experienced AP & Payroll Accountant to join our finance team. The AP & Payroll Accountant will be responsible for managing all aspects of accounts payable and payroll processes, ensuring accuracy and efficiency in both functions.
Key Responsibilities:
- Accounts Payable:
- Process vendor invoices accurately and in a timely manner.
- Reconcile vendor statements, research, and correct discrepancies.
- Ensure proper approval, coding, and matching of invoices and check requests.
- Prepare and perform weekly, bi-weekly, or monthly check runs and electronic payments.
- Maintain accurate records and vendor files.
- Process invoices and expense reimbursements in an accurate, efficient and timely manner.
- Check vendors files for any previous payments. Protect the company against unintentional overpayments.
- Prepare and file 1099 and 1096 on a timely basis.
- Provide finance orientations to new employees in ADP, Sage and Databasics.
- Provide accounting assistance to the operations' staff, responding to financial questions and concerns to meet the company's requirements.
- Payroll:
- Process bi-weekly payroll for employees.
- Verify timekeeping records and consult employees and supervisors to resolve discrepancies.
- Calculate and process payroll deductions.
- Prepare and distribute payroll reports.
- Approve all employee changes in ADP, such as updated W-4s and state withholding forms, and new bank information.
- Set up new state unemployment and withholding accounts for new employees who have been hired or who have moved to another state. Follow up on this issue with the agencies and ADP.
- Update the unemployment Tax Rates in ADP by logging into the unemployment Department's website.
- Resolve the Tax notices by contacting the tax agency and creating an account on their website.
- Ensure compliance with federal, state, and local payroll tax regulations.
- Process monthly 401K, HAS, FSA, payments and provide reconciliation.
- General Accounting:
- Assist with month-end close processes as needed.
- Prepare journal entries related to accounts payable and payroll transactions.
- Reconcile accounts payable and payroll general ledger accounts.
- Compliance and Reporting:
- Ensure compliance with company policies and procedures as well as local, state, and federal regulations.
- Assist with audits related to accounts payable and payroll.
Qualifications:
- Bachelor's degree in Accounting, Finance, or related field.
- 3 years of experience in accounts payable and payroll processing.
- Proficiency in accounting software (e.g., Sage Intact) and payroll systems (e.g., ADP) required.
- Strong understanding of payroll tax laws and regulations.
- Excellent attention to detail and accuracy.
- Ability to prioritize and manage multiple responsibilities.
- Strong communication and interpersonal skills.
