About this position
Be the first point of contact for the company. Provide administrative support across the organization. Handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.
The Position's Responsibilities
· Serve visitors by politely greeting, welcoming, directing and announcing them appropriately.
· Politely and professionally answer, screen, and forward any incoming phone calls while providing basic information when needed.
· Maintains organized, safe and clean reception area.
· Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
· Receive and sort daily mail and deliveries immediately to the appropriate person. Provide notification to appropriate parties when packages and deliveries arrive.
· Complete weekly check run and deposit scan.
· Collect and maintain W-9 forms from vendors and subcontractors to ensure proper tax documentation and compliance with IRS regulations.
· Track and maintain tax exemption certificates and business licenses for vendors and subcontractors to ensure regulatory compliance and avoid project delays or tax liabilities
· Collect and track Certificates of Insurance (COIs) from subcontractors and vendors to ensure compliance with company and project insurance requirements.
· Serve as backup for Accounts Payable operations, including invoice processing, vendor communications, payment runs, and reconciliation of statements to ensure timely and accurate payments.
· Maintain an office professional appearance.
· Maintain security by controlling access to office.
· Perform other clerical receptionist duties such as filing, document copying, typing documents, updating spreadsheets, etc
· Actively look for ways to assist others in office with tasks as needed.
· Ability to learn accounting and other software.
· Other duties may be assigned as needed.

· Proficient with Microsoft Office Suite.
· Solid communication skills, both written and verbal.

Education and Experience
· Proven working experience in a front office handling receptionist responsibilities.
· High school degree or equivalent.
