Our Duluth, MN sales hub is looking to add to their team! The Indirect Sales Support Representative is responsible for coordinating and overseeing all administrative activities as it relates to the processing of sales orders. Provide support, service and communication to assigned sales associates and their fulfillment programs with status updates to clients, vendor contacts and home office support teams.
This position will require working onsite in the Duluth, MN office.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Process sales orders, discrepancies, inventory documents daily per established department policies and procedures.
- Enter complex orders (direct ship, split ship, multiple vendor, multiple ship, customer-owned inventory, inventory released, etc) save in order management system and tagged in the workflow management system (Mfiles).
- Utilize ASB platforms to process orders daily, by performing data entry functions on purchase and sales orders based on specific program requirements, attaching all correspondence and documents related to order.
- Match vendor invoices and warehouse packing slips to purchase orders
- Apply shipping charges to orders
- Invoice customer upon receipt of all paperwork; verifying costs on order are accounted for and are accurate
- Attach invoices to consolidated header for summary billing
- Run customer reporting as backup to summary billing
Provide timely support, research and feedback regarding the status of orders, concerns and/or pending changes as it relates to orders, such as:
- contact vendors regarding missing vendor invoices or documentation of credits applied to an account
- contact sales associate regarding missing purchase orders providing scanned version of invoice
Collaborate with inventory, finance and other home office support teams to meet or exceed sales, client and vendor expectations.
- Coordinate updates when warehouse or vendor destroys old merchandise
- Gather and prepare information for credit memos.
- Input orders for warehouse and remote locations.
- Gather inventory receiving documents and forward documentation to Inventory Team for receipt completion.
- Assist with inventory reconciliation as required.
- Attend account related meetings and conference calls.
Run and review various reports daily and weekly to manage the status of orders, freight integration, shipping detail accuracy, aged invoices, and consolidated billing utilizing the information to process, prepare and/or notify sales associate, home office department or vendor for necessary information needed to complete orders or discrepancies noted on reports.
Establish and maintain a professional working relationship with sales associates and account managers to include a complete understanding of the complexities within their business unit.
Communicate directly with customer in regards to invoice status. Answers customer questions or directs them to appropriate personnel for assistance.
Perform other duties as assigned and meet all department guidelines.

Education and/or Experience
Required: High school diploma or general education degree (GED); plus at least one to three years’ experience or education in customer service, accounting, or inventory control and one to two years’ experience as a Sales Support Representative I or combination of both. Preferred: Associate’s degree in business management, finance, inventory or related field, plus two to three year’s experiences as a sales support representative or combination of education/experience.
