MAJOR RESPONSIBILITIES
Meeting Management Operations
Works closely with Director of Meetings and Travel to ensure process and operational efficiency for managing ACS’s meetings program.
Conducts scoping calls with stakeholders and collaborates to ensure meetings management services meet strategic business objectives consistent with market best practices.
Works closely with third party meetings management partner(s) to ensure venue sourcing, contracting, conference planning, registration websites and attendee management services are executed following ACS policies within acceptable customer service standards.
Participates in meeting supplier selection process to support the strategic meetings management program with appropriate resources and tools.
Collaborates with Travel Manager to ensure smooth attendee and traveler experience for regular meeting operations and creates meeting-specific solutions for complex meetings.
Partners with internal stakeholders to develop and manage meeting budget guidelines.
Develops and implements post-event evaluation methods including surveys and debrief processes as appropriate for conclusive returns on investment, objective and experience.
Proactively analyzes and improves processes. Determines metrics required and cadence to review.
Remains current (or ahead of the curve) with trends in event planning, design, technology and production, and proactively identifies and solves operational challenges.
Communications, Training, Resource Management
Partners with Supply Chain Governance to create and maintain internal meetings management collateral, resources, and training documents.
Creates communications and internal training for ACS’s meetings management program.
Creates new and/or updates content to ACS’s meetings and travel management intranet.
Strategic Meetings Management and Ad-hoc Reporting
Prepares and compile standard and ad hoc status reports for meeting statistics to measure ongoing operations and performance for meetings.
Utilizes operational and evaluative reports to monitor supplier and team member performance as it relates to meetings.
Customer Service
Acts as a liaison between Staff, Supply Chain, and/or Suppliers to resolve questions, concerns, escalations regarding meeting processes, polices; owns issues and drives each to resolution and completion.
May assist customers and suppliers with procure-to-pay questions according to ACS policy & process.
Builds and maintains strong internal and external client relationships.
People Manager
This position will manage direct reports to enhance and support the strategic meetings management program.
Models team leadership by embracing department policies and processes.
Inspires and motivates staff. Establish SMART annual goals in line with department objectives and manage performance via coaching, feedback and conducting annual performance reviews.
Other Duties
Participates in various trainings/informational events to keep abreast of industry trends as it relates to corporate travel and meetings management programs.
Participates in ad hoc committees and work groups at the request of the Director, Meetings and Travel.
Performs miscellaneous job-related duties as assigned.
FORMAL KNOWLEDGE
Bachelor's degree required.
CMP, CMM, or CSEP preferred.
Minimum of 6-10 years equivalent work experience in a Strategic Meetings Management Program.
Strategic, integrated decision making in the logistical planning of multiple, complex meetings, conferences, and/or other events.
Planning and coordination of complex assignments and projects across multiple organizational units.
Advanced verbal and written communication skills and the ability to present effectively to small and large groups.
Ability to analyze, interpret and prepare meeting budgets.
Ability to negotiate and manage contractual arrangements with meeting vendors.
Negotiation of terms of vendor service contracts and contract administration.
Knowledge of finance, accounting, budgeting, and cost control procedures.
Advanced skill in Microsoft Office applications.
SPECIALIZED TRAINING OR KNOWLEDGE
Strong knowledge of Strategic Meetings Management including the GBTA SMM wheel and maturity index models.
Knowledge of meetings and travel related technology/ platform (Groupize, Cvent, Concur).
Knowledge of Concur Expense Management solution preferred.
Knowledge and understanding of meeting and event planning principles, requirements, and procedures.
Strategic, integrated decision making in the logistical planning of multiple, complex meetings, conferences, and/or other events.
Ability to analyze, interpret and prepare meeting budgets.

The starting rate is $70,000 to $85,000. The final candidate's relevant experience/skills will be considered before an offer is extended. Actual starting pay will vary based on non-discriminatory factors including, but not limited to, geographic location, experience, skills, specialty, and education.
