This position will provide programmatic support to all activities within the American Cancer Society’s Global Cancer Support (GCS) department. This department is comprised of three teams: Global Cancer Prevention and Screening, Global Patient Support, and Global Healthcare Provider Support. Global Cancer Support oversees programs and initiatives to support a variety of partners in low- and middle-income countries (LMICs) and high-income countries (HICs) to improve the delivery of cancer care across the continuum, with the goal of improving equitable access, cancer care and quality of life for all patients with cancer and their caregivers/families.

Major Responsibilities

The program coordinator will provide support in the following areas as well as other to be defined areas of need:

  • Grants/contracts management: this position will coordinate the grants and contracts processes across the global teams from the point of submission into ACS systems through reporting. The program coordinator will work closely with a cross-functional, high-level team of staff and external partners with the aim of facilitating and streamlining strong, efficient operational practices and contractual relationships with our grantees and implementing partners
  • Event management: this position will lead event management and proactively determine opportunities to streamline these processes to include: 1) annual African Cancer Coalition meeting with African partners; 2) annual in-person GCS team meeting (domestic); 3) potential additional in-person or virtual events through Global Alliance for Cancer Patient Navigation and ACS Global Academy in development (as below)
  • Program coordination for Global Alliance for Cancer Patient Navigation: this is a multi-stakeholder Alliance to further global patient navigation alignment and would entail helping to organize ongoing steering committee and working group meetings
  • Communications and information management: this position will serve as the lead for the global team’s communications which will include: 1) social media management/postings; 2) assistance with website content/development; 3) additional promotional materials and resource development

Grants/Contracts Management:

  • In collaboration with all GCS Teams and business operations managers (BOMs) supporting the department, takes the lead in ensuring that all teams implement business processes and use organizational systems (e.g., Amp Impact) to meet key contractual and grant requirements (both internal and external), for all grants (incoming and outgoing), services agreements, and any related amendments.
  • Provides status reports on grants activity and trends as well as regular updates on the status of consultant/vendor agreements, grant disbursements, payments, reporting deadlines, timetables, etc. to Managing Directors and Program Managers.
  • Provides business support to Program Managers in processing grants and contracts once agreements have been finalized.
  • Serves as lead point of contact between grantees and internal ACS operations, finance, and legal partners. Collaborates and proactively communicates with all internal partners to ensure timely grant reviews, disbursements, and follow up with grantees.
  • In close collaboration with Global Teams Program Managers, requests, reviews, and approves grant reports and submits to ACS Contracts staff for record keeping.

Event Management:

  • Works with global teams to plan and coordinate team-related meetings and events with partners, including travel to focus countries when needed.
  • Works to proactively streamline processes and ensure cost-effectiveness of events.
  • Works with internal and external partners to ensure all logistical steps are undertaken.

Coordination for Global Alliance for Cancer Patient Navigation:

  • Support communication with Global Alliance stakeholders and members, including establishment and use of organization-approved email solutions
  • Oversee membership database
  • Oversee meeting schedule for Steering Committee and Working Groups
  • Organizational oversight for annual in-person meetings (in conjunction with other global meetings)

Communications, Information Management:

  • Supports the development and revision process of communications materials related to the global teams for internal and external dissemination (i.e., social media, internal/external websites)
  • Assists (and in some instances, takes the lead) in the creation/revision/adaptation of departmental and team tools and resources materials

Cross-cutting:

  • Uses judgment and organizational skills to manage day-to-day operational issues to ensure the efficient functioning of team projects, activities, and deliverables.
  • Works to optimize and streamline processes across duties and GCS teams.
  • Performs miscellaneous job-related duties as assigned.

FORMAL KNOWLEDGE

  • Bachelor’s Degree in International Development, Public Health/Global Health, or related field.
  • Understanding of and experience in the global health environment is a plus.
  • Demonstrated awareness and understanding of working with other cultures. Experience living or working abroad a plus.
  • Experience in grants/contracts management is a plus.
  • Knowledge of/experience and interest in managing international vendor contracting and international grants reporting procedures.
  • Ability to coordinate and organize meetings and/or special events.
  • Proficiency in a foreign language (especially French, Spanish, or Portuguese) is a plus. Other language skills welcome.

  • Excellent organizational, planning, and coordination skills, including a strong attention to detail, and the ability to carry work projects through to their natural conclusion.
  • Proactive attitude, and team spirit approach to work.
  • Ability to work under limited supervision, take initiative, and meet deadlines.
  • Ability to exercise independent judgment to determine best approach to reach desired outcome, including modifying and/or streamlining processes to resolve challenges.
  • Exceptional communication skills, including an ability to create, compose, and edit written material.
  • Excellent interpersonal and networking skills to work effectively in a large, formal organization with multiple stakeholders.
  • Must be flexible and able to coordinate multiple tasks and projects simultaneously, generally under time pressures. Ability to adjust and adapt to changing circumstances.

SPECIAL MENTAL OR PHYSICAL DEMANDS

  • Limited domestic travel (i.e., annual in-person team meeting)
  • Ability to travel internationally on occasion and maintain a nontraditional work schedule including work and/or travel on some evenings and weekends (infrequent).

The starting rate is $25 to $30 hourly. The final candidate's relevant experience/skills will be considered before an offer is extended. Actual starting pay will vary based on non-discriminatory factors including, but not limited to, geographic location, experience, skills, specialty, and education.
