Salary Range : $52,650.00 To $63,180.00 Annually
Position Summary
The position is responsible for supporting designated staff with administrative, financial management and planning services provided to groups within the Chemical Products and Technology (CPT) division. This includes handling meeting logistics, tracking budgets, managing contracts and payments, conducting research, responding to inquiries, preparing documents, and maintaining electronic and paper-based files. This position also directly supports select CPT groups and overall CPT operations, including management of assigned task groups, projects, websites, systems, and operations.
Major Duties and Responsibilities
- Tracks budget for assigned groups, including expense reports and invoices.
- Supports management and oversight of budget and accounting, including ensuring money is committed and disbursed in accordance with approved budget, generating and monitoring contracts, processing check requisitions / invoices, monitoring budget and accounting statements, coordinating membership dues, maintaining contract files, tracking subscriptions and membership, and serving as liaison to the Finance and Accounting division.
- Composes and drafts various correspondence and materials (e.g., letters, memoranda, reports, issue papers, newsletters, benefits materials and messages) for review by designated CPT staff.
- Coordinates and schedules meetings and conference calls for assigned CPT groups, including preparing and transmitting correspondence, agendas, meeting records, conference call records, and briefing materials for all group meetings for designated CPT staff.
- Manages specific task groups as assigned by group managers, including facilitating and leading task group meetings and conference calls.
- Manages group projects, including but not limited to assigned research projects, regulatory / legislative tracking, website update / revamp, media monitoring, marketing materials, and webinars.
- Participates in key external events (e.g., government hearings, agency meetings, workshops / conferences and industry / trade association meetings) and represents groups, as needed.
- Establishes and maintains systems for managing electronic and paper-based documents for assigned CPT groups.
- Maintains membership and contact lists for assigned CPT groups.
- Prepares clearance packages for contracts, contract amendment execution, comments and other policy-related documents.
- Ensures compliance with American Chemistry Council (ACC) standard operating procedures, including managing office procedures, administrative procedures, and office workflow.
- Provides additional administrative support, as needed, for designated staff, including coordinating travel arrangements, completing expense reports, scheduling air / ground transportation and accommodations, as well as coordinating meetings and communications.
- Participates in relevant internal ACC work groups and teams.
- Performs other duties as assigned.
