Position Summary

Under the direction of the Chief Advocacy Officer (CAO), the Senior Executive Assistant will provide high-level administrative support to the CAO, coordinating efforts within the Advocacy team, and collaborating with other departments such as Policy, Communications, Membership and Operations. The Senior Executive Assistant's primary focus will be 1 : 1 support to the CAO but they will also be responsible for supporting the collaboration with the Advocacy department and across other departments to ensure the smooth execution of advocacy-related initiatives. This includes advocacy campaigns, working with external stakeholders, and aligning advocacy strategies with organizational goals.

The Senior EA will also interact with all levels of staff within ACP and with key external stakeholders and members. Excellent communication skills, professionalism, organizational skills and a desire to learn the industry are necessary attributes for this position.

Essential Functions / Major Responsibilities

  • Provide 1 : 1 administrative support to the CAO, including calendar management, travel coordination, and expense reports.
  • Assist the CAO in preparing materials for meetings with lawmakers, industry partners, and other advocacy stakeholders, including presentations, briefings, and talking points.
  • Coordinate advocacy events such as meetings with legislators, industry forums, or coalition-building activities.
  • Support the CAO in managing advocacy campaigns, tracking progress, and ensuring all initiatives align with the association's strategic goals.
  • Help prepare materials for internal and external advocacy communications, including policy statements, advocacy alerts, and member updates.
  • Develop and organize meeting agendas, track follow-up items, and coordinate efforts within the Advocacy department.
  • Assist with the development of content for advocacy-related communications, including newsletters, emails, and presentations.
  • Support the organization and logistics of major advocacy events, such as fly-ins, webinars, and advocacy days.
  • Maintain and organize all advocacy-related materials and ensure they are easily accessible to the team.
  • Serve as a liaison between the Advocacy department and other teams (e.g., Policy, Communications, Membership), ensuring that advocacy initiatives are integrated into broader organizational goals.
  • Coordinate and track special advocacy projects, providing organizational and logistical support.
  • Provide onboarding for new Advocacy department staff to ensure they are familiar with advocacy policies, practices, and procedures.
  • Identify and implement tools and systems that enhance the department's efficiency and effectiveness.
  • Perform additional administrative duties as assigned.

Education, Experience, Skills

  • Bachelor's degree in Public Policy, Political Science, Communications, Business, or a related field strongly preferred.
  • 10 years in administrative roles with at least 2 years supporting senior level executives, preferably in a policy or advocacy setting.
  • Trade Association experience is preferred.
  • Strong knowledge of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Exceptional organizational skills with the ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Strong analytical and problem-solving skills with an ability to adapt quickly to changing priorities.
  • Familiarity with legislative processes and regulatory environments is preferred.
  • Ability to work independently and as part of a collaborative team.
  • An ability to identify problems, research alternatives and resolve them.
  • Ability to work collaboratively and professionally with others from diverse backgrounds and senior levels.
  • Considerable knowledge of office practices and procedures and ability to perform functions with independent judgment.
  • Supportive approach to all situations and a positive team member.
  • Job Conditions

    We are a fast-paced, high-energy organization with a very ambitious agenda and a staff that is highly motivated. This position may experience high-level work demands and independent decision-making under tight timelines. Occasional travel outside of the Washington, DC area for meetings or events may be required. Applicants must be currently authorized to work in the United States on a full-time basis. ACP will not sponsor applicants for work visas.

    We reasonably believe that the base salary range for this position is $95,000- 115,000. t ACP, a wide range of factors are considered when making compensation decisions including and not limited to skill set, experience, training, education, knowledge, and other business and organizational needs. ACP offers 401k, PTO and sick leave, commuter benefits, wellness reimbursement, and professional development / tuition reimbursements for eligible employees.
