Administrative Assistant
Administrative Assistant needed in Olympia Fields, IL
- FT/Mon-Fri/1st Shift - $22/hr - Weekly Pay
The Administrative Assistant provides high-level administrative support to the Director and Manager of Security, ensuring smooth and efficient daily operations within the security department. This role requires a proactive, organized, and detail-oriented professional who can handle confidential information, coordinate schedules, and communicate effectively with both internal staff and external stakeholders.
Key Responsibilities
- Executive Support: Act as a primary point of contact for the Security Director and Manager, managing calendars, scheduling meetings, and coordinating travel arrangements.
- Communication & Correspondence: Prepare, edit, and distribute reports, memos, and official correspondence related to security operations.
- Record-Keeping & Compliance: Maintain and organize department records, including security logs, incident reports, and compliance documentation.
- Meeting Coordination: Organize department meetings, prepare agendas, take minutes, and follow up on action items.
- Data & Reporting: Compile and analyze security-related data, assist in preparing performance reports, and support the department with tracking metrics.
- Project Assistance: Support security initiatives, policy implementation, and special projects as directed by leadership.
- Confidentiality & Discretion: Handle sensitive security-related information with a high level of confidentiality.
- Administrative Duties: Perform general clerical tasks such as filing, scanning, mailing, and procurement of office supplies.
Qualifications & Skills
- Education: High School Diploma or GED required; Associate’s Degree preferred.
- Experience: Minimum of 5 years of administrative experience, preferably in security, law enforcement, or a related field.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and security-related software systems.
- Communication Skills: Excellent verbal and written communication skills with the ability to interact professionally at all levels.
- Organizational Skills: Strong ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- Problem-Solving: Ability to anticipate issues, troubleshoot challenges, and support crisis response efforts when needed.
- Attention to Detail: Accuracy in preparing reports, handling documentation, and managing compliance records.
Work Environment
- Office setting with occasional field visits as required.
- May involve responding to urgent requests outside of regular business hours.
