Position Overview:
Join our dynamic team as a Scheduling Assistant, where you will play a crucial role in supporting our concierge surgical schedulers. Your responsibilities will include ensuring the timely preparation of surgical documentation, coordinating seamlessly with partner organizations involved in our patients' care, and maintaining responsive communication with patients via telephone.
Key Responsibilities:
- Process and route all surgery scheduling paperwork to comply with physician and clinic requirements.
- Generate surgical reservations, submit imaging orders, and manage medical clearance paperwork.
- Collaborate directly with partner facilities and providers to streamline patient care pathways before, during, and after surgery.
- Utilize robust organizational systems to prioritize and execute surgical scheduling tasks efficiently.
- Ensure effective telephone communication, resolve patient inquiries, and appropriately route incoming requests.
- Adhere to all clinic protocols and procedures.
- Recognize and respond appropriately to urgent or emergent situations in accordance with clinic protocols.
Qualifications & Skills:
- High school diploma or GED required.
- Minimum of 1 year of experience in a medical office setting - front desk/customer service preferred.
- Strong collaborative skills with the ability to build effective working relationships both internally and externally.
- In-depth knowledge of clinical/medical practice operations, procedures, terminology, and administrative processes.
- Flexibility and the ability to multitask effectively.
- Proficiency in computer and relevant software applications, including practice management technology.
This is a full-time position at 40 hours per week, with optional 1-2 days per week remote schedule available after training. Remaining 3-4 days per week are in clinic.
