JOB TITLE: FRONT DESK COORDINATOR
SUMMARY:
Under the Administrator’s supervision, performs a variety of clerical functions such as registering patients, preparing forms, verifying insurance benefits and explaining financial requirements to patients. The Front Desk Coordinator answers phones, schedules and confirms appointments, posts charges, processes payments accurately and efficiently files and routes medical correspondence while ensuring that all policies and procedures are observed.
RESPONSIBILITIES:
- Greets patients, screens and routes visitors in a prompt, courteous, and helpful manner. Assists patients with ambulatory difficulties.
- Interviews patients in order to obtain demographic, medical and billing information, authorizations for treatment, signatures, release forms and related information and consent. Researches missing information on forms and obtains any pertinent and necessary information.
- Verifies, updates and records patient demographic and billing information into the patient’s medical record and billing system.
- Confirms insurance eligibility and benefits for patient services, counsels patient regarding such benefits, calculates patient due amounts and collects applicable co-insurance, deductible and/or copay amounts as needed.
- Posts CPT and ICD-10 codes to the appropriate patient accounts for billing purposes.
- Receives a variety of payments and other cash and cash-related transactions; verifies and posts to appropriate accounts and issues receipts.
- Notifies and coordinates with medical department of patient arrival to minimize patient waiting time.
- Maintains work area and waiting room in neat and orderly manner.
- Prepares patient charts and ensures that all the necessary forms and documentation are present prior to their arrival.
- Books, coordinates and reschedules patient appointments, following office scheduling policies.
- Answers telephone, screens calls, takes and routes messages, and provides practice information.
- Types correspondence as directed. Sorts and files medical correspondence as directed.
- Maintains and updates current information on physician's schedules. Prints and distributes physicians’ schedules to pertinent departments.
- Contacts physicians regarding services required by patient, evaluations needed, and to obtain relevant medical records.
- Distributes and maintains a running inventory of office supplies and notifies Administrator of necessary supplies for reordering.
- Ensures strict confidentiality of all records.
- Performs a variety of general clerical duties and front office responsibilities when necessary.
- Performs miscellaneous job-related duties as assigned.
NECESSARY KNOWLEDGE & SKILLS:
- Bilingual (English / Spanish) preferred.
- Data entry and word processing skills in the use of personal computers and related software applications.
- Ability to make arithmetical calculations rapidly and accurately.
- Knowledge of cash handling and record keeping standards and practices.
- Ability to develop and maintain record-keeping and filing systems.
- Strong ability to interact and communicate effectively, both orally and in writing, often in stressful situations.
- Knowledge of accurate grammar, spelling and punctuation.
- Ability to gather, verify data input, and correct errors.
- Knowledge of medical insurance and patient billing procedures and documentation.
- Ability to use independent judgment and to manage and impart confidential information.
- Ability to foster a cooperative work environment.
- Ability to orient and train selected staff when necessary.
- Organizing resources and establishing priorities skills.
