Job Description:
Job Summary
Manage the daily operation of the on-campus health care facility, Dexter Health Services. Perform duties and responsibilities as assigned by the Director of Health Services, including administrative functions, medical record keeping, and clinical duties. Maintain strict confidentiality for employees and students in accordance with HIPAA and FERPA guidelines. Position description is subject to change as the needs of the consumer or college change.
Hours: 8:30am-4:30pm Monday through Friday, in addition to new student orientation and summer summit days.
Essential Job Functions
Administrative Functions:
Greet patients, answer telephone and doorbell, and field questions; refer to medical staff as needed.
Schedule and confirm appointments for patient visits
Maintain the schedule for all providers, alerting Director of daily appointments.
Perform administrative duties as requested by the providers and all other functions as requested by the staff.
Facilitate referrals to other providers and/or medical facilities as directed by the Director.
Supervise work-study students throughout the year, provide training and orientation, schedule student hours of employment and monitor work performance.
Field questions regarding health insurance from all who have inquiries directing them as needed to applicable resources.
Verify and process billing statements from laboratory and other vendors.
Maintain inventory, stock supply cabinets and exam rooms, and order all medical and office supplies as needed or as requested by the Director and keep a record of orders and respective cost.
Prepare medical records for shredding (after 7 years) and locate records who are no longer active for retrieval as requested by the Director.
Prepare specimens for laboratory pick-up; print lab requisitions and insurance information; verify each laboratory sample sent out receives a result; report results to ordering provider; scan and/or file in appropriate chart.
Maintain health center work areas and clean as indicated, including exam rooms and patient care areas.
Submit work orders and follow up as needed for maintenance and upkeep of Health Center.
Collaborate with all departments as needed to accommodate students.
Distribute Health Satisfaction Survey to patients and tally results each semester.
Medical Record Management:
Review all incoming health forms for state and college compliance, noting serious medical conditions and allergies in the health record.
Prepare a chart for each active student, inserting the patient's health history and physical examination report, incoming immunization record, and any other pertinent health information.
Enter and verify each student's immunization and health history information into the electronic medical record system.
Prepare and distribute health requirements letters as required by the college and state to all students and maintain updated records.
Place students who have not provided health requirements on "HLTH hold" to prevent further registration of classes and remove them from "HLTH hold" as compliance is met.
Prepare and submit to governing state agency reports of immunization compliance.
Outreach to students who are not in compliance with health and/or immunization requirements.
Assist with set-up and documentation of immunization clinics, athlete screening, flu shot clinics, STI testing clinics, tuberculosis screening, urine drug screening, and all other health events offered by the Health Center.
Clinical Duties (Under Supervision of a Licensed Provider):
Prepare exam rooms by cleaning and stocking supplies.
Assist healthcare providers during patient examinations and procedures and serve as a chaperone during sensitive exams.
Measure and record vital signs, including blood pressure, pulse, temperature, and weight.
Prepare specimens for laboratory analysis as directed by the medical provider.
Administer injections or perform phlebotomy only as specifically delegated and supervised by a licensed provider.
Document patient history and update electronic health records (EHR).
Provide patient education on health topics, medications, and follow-up care as directed by a provider, including on-campus tabling events and outreach programs.
Requirements:
Qualifications
Certified Medical Assistant (CMA or RMA) credential required. Must meet Massachusetts state certification requirements and have completed an accredited medical assistant training program.
Current CPR certification required.
At least 1 year of experience as a medical assistant or in a similar role, preferably in a college health or primary care setting.
Familiarity with Massachusetts state guidelines for medical assistant scope of practice.
Strong proficiency in EHR systems and basic computer skills.
Excellent organizational skills and attention to detail.
Ability to multitask and prioritize in a fast-paced environment.
Strong communication and interpersonal skills to work effectively with a diverse student population.
