This position will be responsible for the general functions of shipping and invoice management to include communicating with vendors, material facilitation, and purchase order management.
Essential Duties And Responsibilities
- Contact vendors and shippers to ensure that supplies/materials are received at the warehouse to meet construction schedule
- Communicate with freight/transportation contacts to facilitate appropriate/timely delivery of shipments
- Communicate with freight/transportation contacts to facilitate appropriate/timely processing of shipping documents for customs clearance, etc.
- Coordinate receipt of goods with site and home office procurement departments
- Create / Maintain shipment tracker
- Arrange for distribution of material if necessary
- Inspect products when necessary
- Facilitate flow of materials in support of projects, to include coordination with site material managers as needs are updated
- Monitor financials, validate shipping invoices
- Verify that Purchase Orders match orders shipped and material invoices
- Other duties as assigned.
- Proven problem-solving ability
- Proficiency with Microsoft Office software
- Excellent planning, organizational, verbal and written communication skills. Detail-oriented, Self-motivated; little supervision needed. Ability to prioritize tasks and to manage multiple tasks and coordinate activities to meet deadlines is critical.
- Courteous, professional, diplomatic. High level of confidentiality.
- Must be authorized to work in the U.S.
- Must be able to obtain, and maintain a U.S. Security Clearance.
- Bachelor’s Degree from an accredited college or University. 4-6 years of experience may be exchanged for degree
- At least two years of experience in an administrative function
- Experience as in procurement and or logistics
- Construction Industry experience is a plus
- International experience is a plus
