We have an opportunity at our corporate offices in Chicago for a Director I, Conference Services on our Corporate Services team. This is a hybrid position reporting into our Chicago, IL office.
As Director I, Conference Services, you will be responsible for leading the site selection and contract negotiation of multiple, major AMA member meetings (i.e., Annual and Interim HoD Meetings). Direct a diverse services group to ensure high-quality service to Board, House of Delegates, Senior Management and internal staff with the coordination and execution of major meetings and day-to-day operations encompassing Meeting Services, Conference and Travel Services. Build and monitor event budgets.

RESPONSIBILITIES:
Events Planning
- Direct the site selection, contract and rate negotiation for multiple, major external AMA meetings to ensure location amenities meet high, quality standards to Board, House of Delegates, and internal AMA staff
- Responsible for the development and management of multi-million budget
- Determine event budgets and conduct research to identify new event opportunities for the organization
- Develop event marketing and communication plans
- Oversee the development of processes for repeatability and scalability of events
- Provide advise and counsel to Leaders in event management best practices
- Provide recommendations on current software and tools to support large events
- Review post event analysis and feedback, to incorporate into future event plans
- Responsible for providing management and/or support in assisting with meeting logistics for internal and external meetings
- Coordinate and provide on-site management for AMA Board of Trustees and WMA Council and Assembly meetings
- Oversee the meeting registration, housing functions and travel logistics for meetings
- Direct and coordinate staff to manage all aspects and functions of the Conference Center Services
- Provides appropriate staff management and training, guidance, and leadership for all professional staff
- Responsible for setting goals, evaluating performance, and developing and advancing staff skills/experience
- Manage contracted employees/staff for all meetings
- Oversee the Print Services Department, ensuring the delivery of high-quality printing solutions and alignment with organizational needs.
REQUIREMENTS:
- Bachelor’s degree required degree in hotel or meeting management preferred
- Minimum 10 years’ experience in meeting management field required
- CMP (Certified Meeting Planner) certificate preferred
- Minimum 5 years’ experience in a management capacity; able to grow and mentor talent
- Demonstrated experience and success negotiating contracts required
- Strong financial skills to build and manage budgets
- Strong planning, organizing and prioritizing skills
- Excellent written and verbal communication skills
- Proven interpersonal skills to interact with all levels of staff and management including at the Board of Trustees level
- Proven record of sound decision making, exercising good judgment and able to make quick and decisive decisions during events
- Up to 25% travel

Salary : $120,360 - $162,180
