The Operations Manager is responsible for the daily operations of their assigned department. This person supervises and coordinates activities of their direct support team. The Manager provides either directly or indirectly the provision and coordination of various supports for adults that will ensure their health, safety and fulfillment of independence.
Responsibilities and Duties
- Ensure compliance with applicable Ohio Home Care, Medicaid, Medicare and Ohio Department of Developmental Disabilities Administrative Code and Revised Code. Responsible for having a detailed knowledge of American Primary Healthcare policies and procedures and ensuring implementation. Has a working knowledge of other applicable regulatory entities related to the management of the assigned department (e.g., HCDDS, HUD, CARF, CMS).
- Assist with reviewing referral information and making recommendations regarding enrollment ability to meet the needs of the person referred.
- Represent American Primary Healthcare in the Individual Service Plan (ISP) for each person receiving services on assigned caseload and review completed plans for health/safety needs, accuracy, and consistency with the American Primary Healthcare documentation system.
- Assign responsibilities to DSPs to ensure the effective and efficient delivery of services identified in the ISP for which American Primary Healthcare is responsible.
- Write necessary ISP documents, implement outcomes and supports, and follow through with all issues and needs identified per the ISP.
- Oversee and maintain all required documentation, record keeping, financial and benefit management as required by regulatory agencies and American Primary Healthcare policies and procedures and ensure filed in a timely manner.
- Support and assist persons served in the development of skills that will improve abilities and increase independence.
- Monitor, direct, and facilitate the educational activities and progress of each person receiving services.
- Identify the medical services, social integration activities, budgets and record-keeping necessary to meet the needs of the person served.
- Ensure that the rights of the person served are respected and upheld.
- Maintain safety standards and the teaching of safety skills to persons served.
- Reconcile person served financial records as required by rule, ISP, and policies and procedures.
- Participate in the interviewing process and hiring of DSPs as assigned.
- Educate DSPs on skill development methodologies, individual-specific training and the

- Monitor, provide feedback, and conduct employee performance.
- Facilitate achievement of employees through participation in internal and external training opportunities.
- Maintain communication with parents, families, guardians, and advocates.
- Fill in for absent employees if needed.
- Respond to all emergencies and emergency calls of persons served or employees and take appropriate action.
- Assist in the development of the annual budget and on-going monitoring including purchases, approval of petty cash, and expense reports.
- Provide day-to-day leadership and management that mirrors the adopted mission, vision and core values.
- Represents the agency in the community or interagency activities.
- Cooperate, oversee and work with landlord and/or property management company employees to build a good working relationship and to maintain a safe, clean, and healthy living environment.
- Model professional appearance, conduct and communication.
- Track and report on department goals as requested.
- Ensure maximum revenue for service delivery.
- Review and approve service delivery documentation, billing, and payroll entries.
- Keep informed on new developments, methods, and techniques in the field of Developmental Disabilities.
- Required Education and Experience
- Minimum of a High school diploma or GED
- Basic computer proficiency skills
- Self-Starter
- Able to meet deadlines
- Ability to excel in a fast-paced, high demand team environment
- Organized with attention to detail
- Strong computer and word-processing skills
- Time management skills
- Strong customer service skills with professional phone and email etiquette
- Valid Driver’s license, Valid Auto Insurance and vehicle.
- Clear BCI with no disqualifying offenses
- Supervisory and schedule experience preferred
Job Type: Full-time
Pay: $21.50 - $23.90 per hour
