Job Summary:
The Mental Health Executive Administrative Assistant provides specialized administrative support to senior executives in a mental health organization or facility. The assistant will facilitate effective communication, oversee administrative operations, and support executives in achieving organizational goals.
Key Responsibilities
- Executive Support:
- Manage executives’ calendars, scheduling meetings, appointments, and travel arrangements.
- Act as a liaison between executives, staff, and external stakeholders, ensuring clear and effective communication.
- Draft, review, and edit correspondence, reports, and presentations related to mental health services.
- Documentation and Compliance:
- Prepare and maintain client records, meeting notes, and other documentation in compliance with HIPAA and other relevant regulations.
- Ensure timely submission of reports, licensing renewals, and compliance documentation.
- Meeting Coordination:
- Plan and organize executive and team meetings, including preparing agendas, taking minutes, and distributing follow-ups.
- Coordinate board meetings and facilitate communication with board members.
- Project Management:
- Assist with mental health program development, tracking timelines, budgets, and deliverables.
- Support grant applications and funding proposals by gathering necessary documentation and data.
- Administrative Operations:
- Oversee office operations, including supply management and vendor coordination.
- Support hiring processes by coordinating interviews, onboarding new hires, and maintaining HR records.
- Client and Stakeholder Relations:
- Manage inquiries and correspondence with clients, partner organizations, and community stakeholders.
- Provide courteous and professional assistance to clients and families seeking mental health services.
- Financial Oversight:
- Track and process expense reports and invoices for mental health programs.
- Assist in budget preparation and monitoring expenditures.
- Confidentiality and Sensitivity:
- Handle confidential client and organizational information with the utmost discretion.
- Maintain sensitivity to the needs and experiences of individuals in mental health crises.
Qualifications
- Education:
- High school diploma required; Bachelor’s degree in psychology, social work, business administration, or a related field preferred.
- Experience:
- Proven experience in administrative roles, preferably within mental health or healthcare settings.
- Familiarity with mental health terminology and practices is a plus.
- Technical Skills:
- Proficiency in Microsoft Office Suite and mental health software systems (e.g., EHR platforms).
- Ability to learn and utilize HIPAA-compliant communication tools.
- Communication Skills:
- Strong written and verbal communication skills, with an emphasis on empathy and professionalism.
- Organizational Skills:
- Exceptional ability to prioritize tasks, manage time effectively, and adapt to changing priorities.

Working Conditions
- This is a full-time position with standard office hours, but flexibility may be required for meetings or events outside typical hours.
